Hybrid working (50/50)

We have a fantastic opportunity for a Workplace Administration Coordinator to join our Lancaster Workplace Team. You will be assisting the Workplace Manager in providing an effective and efficient workplace service to our local scientific and professional services community.  As well as providing administrative support to the wider team across all four sites.

 

You’ll be supporting and coordinating a team of Workplace administration and maintenance assistants, who are responsible for supplying high quality, safe and clean buildings across the UKCEH estate.

 

The Workplace Team provide a wide range of hard and soft facilities services, including engineering, maintenance, building compliance, catering, reception, and a fleet of vehicles.

 

We need your excellent customer service and administration skills to work closely with a variety of stakeholders, to ensure we are providing the highest quality in customer service.

 

You’ll be joining a leading independent, not-for-profit research institute that’s committed to recruiting talented people like you, progressing your career and giving you the support you need to thrive at UKCEH.

 

Your main responsibilities will include:

  • Providing guidance and training on the Workday procurement system, acting as a first point of contact for queries and escalations
  • Supporting and supervising a team of administrative and maintenance support staff, to ensure the effective co-ordination and delivery of day-to-day tasks
  • Collating and presenting performance data, to support wider decision making, and assessment of progress towards key team goals
  • Coordinating Health & Safety compliance across all four sites, including contractor management documentation

 

For the role of Workplace Administration Coordinator, we’re looking for somebody who has:

  • Intermediate to advanced computer skills, knowledge of Microsoft Office 365 (Word, Outlook, Excel), databases and CAFM systems
  • Ability to supervise and coordinate a small team, supplying training where necessary
  • Excellent customer service skills – able to communicate well in person and in writing, whilst using a collaborative and inclusive approach
  • Knowledge of finance and procurement processes
  • Ability to accurately reassess work priorities in a changing environment, working methodically and with accuracy
  • Experience working on Reception or a busy help desk – to provide occasional holiday cover – supporting employees, visitors, contractors with a variety of routines and queries, as well as switchboard, emails, post, and deliveries

 

Desirable Skills/Experience (training will be given):

  • In-depth CAFM system knowledge
  • Workday system
  • Contractor management or compliance management
  • Scheduling contractor appointments on several sites, liaising with multiple shareholders in the process
  • Data analysis skills
  • Power BI
  • Minute taking
