Job Description

San Diego Humane Society is hiring a Full Time Volunteer Experience Supervisor for our San Diego and El Cajon Campuses!

Your role as the leader of volunteer experience for San Diego Campus and El Cajon Campus is an important one as you work with staff and volunteers to build a plan of action resulting in industry leading programming for volunteers that expands our lifesaving work.  You will shape a culture at San Diego and El Cajon Campus that celebrates volunteers and staff working in collaboration that will play a key role in San Diego Humane Society’s capacity to care for tens of thousands of companion animals each year.

 

What you’ll do: Oversee recruitment, education and supervision of all volunteers at San Diego Campus & El Cajon Campus

Leadership

  • Works with leaders from various departments to determine volunteer activities; communicates instructions for volunteer work with animals and/or guests and ensures proper protocols are being followed
  • Listens to volunteer concerns and formulates and implements solutions; reports concerns to Volunteer Experience Manager
  • Is an active participant in San Diego and El Cajon Campus meetings; proposes agenda items relating to volunteer engagement
  • Attends operational department team meetings to listen to feedback and provide volunteer engagement learning opportunities
  • Maintains a working knowledge of all regularly scheduled volunteers including their names, roles, skill levels, and special details that enhance conversation
  • Provides Volunteer Engagement resources and guidance to San Diego and El Cajon Campus Staff Partners including Nursery and Adoptions teams
  • Coaches volunteers who fail to meet standards, analyzes skill deficiencies and creates performance plans to address them and documents conversations
  • Ensures goals set in partnership with funders are exceeded; contributes to grant reports
  • Proactively looks for new and creative ways that volunteers can assist the organization

Program Operation

  • Updates communication and tracking tools used by volunteers; updates shift guides and instruction sheets for volunteer activities
  • Maintains adequate levels of volunteer equipment and supplies
  • Maintains inventory of volunteer uniforms and reports number in stock monthly
  • Accurately completes sales process of volunteer uniforms
  • Enters Animal Care Requests made by volunteers into Shelter Buddy database
  • Completes injury reports, follows up with injured volunteers
  • Monitors volunteers for signs of compassion stress and recommends support resources as needed
  • Works with volunteers with special needs to create accommodations as needed
  • Maintains a daily presence around campus thanking and helping volunteers; frequently works side by side with volunteers in all volunteer assignments
  • Follows up monthly with volunteers that no-show or are not meeting the minimum commitment for their role
  • Researches and follows up on all submitted Volunteer Observation forms
  • Tracks animal status, case reviews and pathway decisions as needed to support volunteers
  • Implements externship programs; provides training and scheduling for externs

Volunteer Communication

  • Contributes to San Diego/El Cajon volunteer blog and collaborates with VE and San Diego/El Cajon staff to maintain relevant content
  • Posts San Diego/El Cajon happenings on Facebook Volunteer and Employee groups multiple times per week
  • Ensures all volunteer-facing signage is up to date and properly branded

Volunteer Celebration

  • Personifies a Culture of Appreciation and encourages all staff to celebrate volunteer service
  • Collaborates with Volunteer Program Development Manager to create annual recognition plan for San Diego and plans/implements ongoing recognition for San Diego Campus including themed events, decorations, videos, etc.
  • Creates a warm and welcoming environment for volunteers in the volunteer area that is clean and well organized
  • Distributes volunteer name badge ribbons and celebrates milestone achievements
  • Leads National Volunteer Week activities at San Diego Campus inspiring individual departments to celebrate their volunteers and supports them in implementation
  • Leads Volunteer of the Month selection committee for San Diego
  • Coordinates Shout Out process and monthly raffle

New Volunteer Recruitment and Onboarding

  • Presents inspiring Meet and Greet sessions for potential volunteers
  • Promotes volunteer recruitment needs by creating social media content, attending volunteer recruitment events
  • Leads Onsite Interview sessions and makes placement decisions for volunteer candidates
  • Responds to candidates who have not been placed into their first choice or role or have not been offered a placement
  • Prepares volunteers for their first shift; provides supplies and training needed
  • Follows up with new volunteers at regular intervals; reaches out to volunteers who have stalled or failed to complete training process

Volunteer Training and Education

  • Instructs volunteer training classes such as Shelter Dogs, Cats and Rabbits; Adoptions; and Guest Relations
  • Integrates operational changes into training materials; communicates changes to volunteers
  • Oversees mentorship program for leadership volunteers that mentor new volunteers
  • Collaborates with Staff Partners to ensure consistency and quality of volunteer training
  • Hosts onsite Extended Learning classes
  • Provides training shifts for new volunteers in conjunction with mentor volunteers and staff
  • Provides refresher shifts for current volunteers in conjunction with mentor volunteers and staff
  • Creates schedule of mentored shifts
  • Completes skills verification to approve volunteers stepping up to core level teams
  • Coordinates animal handling training for assignments that require it
  • Maintains records of training completed by volunteers and enters information into database
  • Creates short video trainings

Miscellaneous

  • Supports volunteers during emotionally difficult situations
  • Supports VE team projects and schedule coverage during teammates’ weekends/PTO
  • Travels to other locations as needed for meetings, trainings, shadow shifts, events, etc
  • Assists Volunteer Engagement department at off-site special events
  • May support emergency response efforts when volunteers are deployed to local evacuation centers
  • Oversees volunteer meet location during campus evacuations; ensures all clocked in volunteers are accounted for

Supervisory Responsibilities: Volunteers at San Diego Campus and El Cajon Campus (approximately 150 individuals monthly)

 

What we’re looking for:

  •  AA Degree in Sociology, Anthropology, Psychology, Hospitality or related field or completion of sufficient coursework to successfully perform the required duties of the position, and three (3) years’ experience working with volunteers required, or any equivalent combination of education and experience.
  • One (1) year supervisory experience (staff or volunteers) highly preferred
  • Experience working with companion animals required. Two (2) years’ experience working in an operational department of an animal shelter or other animal welfare organization preferred.
  • ​Valid CA Driver’s License and good driving record required.​

Good public speaking skills required. Strong problem solving skills. Strong conflict resolution skills. Good time management and excellent organizational skills required. Must have a positive approach and ability to establish good rapport with people. Must be able to demonstrate sensitivity and compassion with volunteers. Must possess high Emotional Intelligence (perceiving, understanding and managing emotions/feelings). An interest and willingness to learn about all species of animals in care required.

Pay: Starts at $18.77 per hour. The hourly rate is determined by your related education and experience.
