TENANT COORDINATOR – MID ATLANTIC REGION

NorthBridge is looking for a coordinator to join the Mid Atlantic Team to performs the administrative functions of the Property Management Team assuring a high level of professionalism in property issues, including timely response to and resolution of tenant requests or concerns.

This position will sit in our Mid-Atlantic Baltimore area office located in Linthicum, MD.  The ideal candidate should be able to work independently, be a team player, and able to perform in a fast-paced environment.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Assist in lease administration activities, including tenant contacts and insurance information and generating reports for internal review.
  • Assist in the preparation and coordination of bid proposals, service contracts and approved invoices.
  • Assist in bidding process and assist Property Manager(s) in their efforts to ensure compliance with NB policies and procedures.
  • Prepare and code invoices for Property Manager’s/Assistant Property Manager approval.
  • Ensure prompt and accurate completion of contract and certificates of insurance information in contract administration software.
  • Track and file contracts and insurance certificates; maintain follow-up system for expirations.
  • Monitor and maintain the property maintenance work order system and prepare monthly reports for Property Manager on status of tenant work orders as needed.
  • Maintain lease and contract files, as well as other files located within the property management office.
  • Assist with monthly and quarterly management reports as well as annual budget preparation.
  • Process management and maintenance staff hours, tenant bill back invoices through accounting, expense reports, monthly meter readings of properties, and check requests
  • Other duties as assigned.

QUALIFICATIONS

  • Practical knowledge of Excel, Word, Adobe and PowerPoint
  • Yardi Software knowledge preferred, but willing to train.

EDUCATION and/or EXPERIENCE

  • High school diploma. A bachelor’s degree or related experience in the field is preferred.
  • Three years of experience in commercial property management and working with tenants and vendors preferred.
