Position Summary:

The Staff Assistant, Inventory Control Manager and Operations Assistant of Central Receiving and Inventory Management will be responsible for managing and conducting the annual inventory physical audits of all fixed and consumable assets that are active in two inventory tracking systems that are maintained and managed by the department.

The Staff Assistant will coordinate the reception, inventory recordkeeping, deployment, and disposal of institutional fixed and consumable assets. This position will assist with the shredding program, protecting sensitive university information, and will work with university senior staff to get the required signatures before documents are shred and destroyed. This person will assist the department’s Moving Services and Operations Manager and Mail Services Personnel with all operational responsibilities. The Staff Assistant will oversee assigned student employees.

Essential Duties:

We are looking for equity-minded applicants who demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds present in our community.

1) Manage and conduct the annual inventory physical audits of all fixed and consumable assets that are active in two inventory tracking systems that are maintained and managed by the department.2) Work with the university’s art curator to maintain an accurate inventory of the Art Collection.3) Work with the Alumni Foundation on the acceptance and reception of art donations to the university, monitoring the proper exchange of legal forms (tax exemptions, certified appraisals) and adding new artwork to the fixed asset inventory tracking system.4) Work with senior members of the university to assist in BSU surplus equipment being donated to nonprofit organizations, primarily focusing on “Gateway” communities.5) Work with department managers to investigate all inventory discrepancies found during physical audits.6) Coordinates the reception, inventory recordkeeping, deployment, and disposal of institutional fixed and consumable assets.7) Work closely with a variety of key departments (e.g. Fiscal Affairs, University Police, Purchasing, Information Technology, etc.) to improve internal controls while offering a high degree of customer service.8) Assist with the campus shredding program, working with the Moving Services and Operations Manager to securely transfer confidential university files, ensure all approved documents are properly being destroyed, shredding documents, ordering, and maintaining shredding supplies, and coordinate the maintenance of the shredding machine.9) Be cross trained to work in Mail Services at Tillinghast Hall to cover the department in emergency situations.10) Assist the Moving Services and Operations Manager with assigned tasks and duties.11) Manage and update the Sage fixed asset tracking system.12) Manage all clerical and student employees assigned to fixed asset operations in the department.13) May participate in special projects and/or committees as assigned.Perform other duties as assigned by the Director of Central Receiving and Inventory Management, and Mail Services.

6) Willingness, ability to lift heavy objects

Preferred Qualifications:

1) Knowledge of Commonwealth of Massachusetts policies and procedures.
2) Experience working in a higher education environment.
3) Experience working in a team atmosphere.

The Staff Assistant, Inventory Control Manager and Operations Specialist is responsible for completing field audits therefore must have the ability to move around the campus and the willingness, ability to lift heavy objects.
