Position Summary:

Serves as the primary administrative support for the Dean of the College of Education and Health Sciences and provides logistical support for college-wide initiatives. Acts as budget manager for CEHS executing all financial operations while also serving as primary point of contact for CEHS for both the campus and external communities. Administers academic activities and programs supported by CEHS. Consults with CEHS Dean and Associate Deans on matters pertaining to the daily operation of the Dean’s Office, academic programs, faculty and students.

Essential Duties:

1. Participate in the budget planning process and prepare and analyze CEHS budget; develop and recommend budgetary requests; prepare budget reports as necessary.
2. Provide guidance and serve as travel liaison for faculty and staff in CEHS; implement and ensure compliance with procurement policies.
3. Administer and lead the CEHS scholarship recipient process; direct activities and decisions resulting in a fair and equitable selection of scholarship recipients; establish process, create procedures, assess applications, and make recommendations.
4. Coordinate and organize CEHS sponsored events and faculty workshops.
5. Manage office operations including, but not limited to CEHS calendar, Dean’s calendar, meeting preparation, announcements, and office procurement, and internal communications.
6. Responsible for note taking and preparing the agenda and minutes for chairs, chairs and coordinators, and all faculty and staff CEHS college meetings.
7. Assist with agenda and minutes for professional development school meetings.
8. Provide support and assistance to Dean, Associate Deans, office staff and department administrative assistants.
9. Supervise graduate students and student workers.
10. Performs related duties and responsibilities as assigned.

Required Qualifications:

• Bachelor’s degree
• Experience in administrative support, program and/or project coordination in a professional setting.
• Knowledge of office administration including; purchasing, personnel management, budgeting, accounting, records management, project management, work simplification, and documentation. Knowledge of higher education principles, practices, and procedures.
• Strong oral and written communication skills and the ability to lead small and large groups.
• Experience with and commitment to issues of diversity, equity and inclusion within the college campus and the workplace.
• Strong organization and planning skills and the ability to manage multiple projects and tasks simultaneously.
• Experience with computer software including but not limited to; MS Office products, Banner, etc. Ability to learn new software programs
• Attention to detail and accuracy.
• Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural, and/or economic backgrounds and deal tactfully with others.
• Exercise sound judgment and ability to make decisions independently
• Receive and give written and oral instructions in a precise, understandable manner.
• Ability to learn and apply BSU guidelines and procedures to assist academic departments with questions.
