Full-Time Sr. HR and Operations Coordinator

Job Description

Young Invincibles (YI), a national young adult research and advocacy organization working to advance economic opportunity for young adults, seeks an Sr. HR & Operations Coordinator for its Washington, D.C. headquarters. The Sr. HR & Operations Coordinator will be a vital part of the Operations team as he/she/they will provide administrative and logistical support to the Operations team. The position requires the candidate to be highly organized and efficient. They should have a keen eye for detail and knack for creative problem-solving. The Sr. HR & Operations Coordinator will be responsible for day-to-day office/HR administrative support as well as working with the rest of the operations team to build out key organizational structures and procedures. This includes multi-office support. Young Invincibles currently has office locations in CO, IL, TX, NY, CA and DC. 

This is a key operations team position. As the team continues to seek ways of improving YI’s systems, this position will have the opportunity to work with all parts of the organization.  He/she/they must have a strong internal motivation and must be comfortable juggling multiple projects and tight deadlines. The operations team is at a critical moment in time – developing and implementing new and exciting ways to modernize and integrate within YI.

The Sr. HR and Operations Coordinator must be able to work efficiently in a fast-paced environment that requires an ability to adapt to shifting priorities, a sense of urgency, and a commitment to excellence. They must be comfortable in a start-up style atmosphere that requires creativity, initiative, and a sense of humor.

Reports to: Finance and Compliance Director

Principal Responsibilities: 

Human Resources:

The Sr. HR & Operations Coordinator will take lead on most HR and Benefits Admin functions. However, the HR Manager will assist in overseeing the management of HR functions. Sr. HR & Operations Coordinator should:

Take lead on the new hire onboarding & off-boarding administrative processes and ensure proper documentation.Providing needed HR admin support based on how they work operationally inside YI.Provide HR admin training to new hires. Support HR Manager with recruiting efforts such as scheduling & outreach. Support HR Manager with managing HRIS database- ADP WorkforceNow.The management of the HRIS will lie in the capacity of the Sr. HR & Operations Coordinator. This position can lead on routine system changes & maintenance updates that do not require approval. Maintain personnel files in compliance with applicable legal requirements. Assist with maintaining, preparing, and updating HR policies and procedures. Provides related support to staff. Process PT employee payroll and submit for review/approval. HRIS PT hourly timesheet management.Work closely with a third-party HR partner to  troubleshoot HRIS related issues, assist PT staff, benefits administration, and provide ongoing support.Assist in completing annual HR compliance reports.Provides HR administrative support as needed.

Advocates Program Liaison:

YI’s advocate program consists of ~60 part time employees from different regional locations that typically work under 10hours/week and onboard at relatively the same time. They usually join the organization for ~12weeks at a time. There is a Spring & Fall program (sometimes also Summer). 

Serve as the liaison between the regions and operations as it relates to the regional advocates programs. Create processes to streamline efficiency, as needed.Manage onboarding and off-boarding.Manage and provide onboarding training to advocates and supervisors (as needed)Manage the help@ inbox and provide HR/Operations support.Ensure participants are processed in semi-monthly payrolls. 

Office Management, Operations & IT (Includes all regions):

Serve as the point person for day-to-day office administration.The DC office is currently 100% remote. However, this position will be the main POC for coordination/communication with storage to acquire/store items.Documentation – Super critical for remote teams. Ensuring all of the docs are easily accessible at a central location and having periodic cleanups.Coordinate logistics/tech needs for meetings, e.g. All staff meetings, etc.Work with hiring managers to ensure interviews are being scheduled according to process.Communicate and follow-up with vendors regarding various YI office management needs Assist with the organization of employee related events. Ex. Company Retreat. Assist in the project management of transitioning office spaces. Update employee phone directory and organization chart. Maintains a database of employee contact information. Maintain Operations Team intranet content including institutional docs, informational resources, policies, and forms. Serve as point person for coordinating/troubleshooting YI technology and IT affairs. The ideal candidate will be able to connect staff to the appropriate resources they need for IT support. Manage technology inventory (e.g. laptops and phones) and access to software/services (e.g. Google Suite Applications/Systems).Manages organizations IT systems which include computers, networks, internet access, telephone lines and other technology.Understanding of IT and how it relates to future trends in remote workplace office management/operations.This position will also take on other administrative and operational duties as assigned.

Qualifications:

1-3 year relative work experienceExperienced project management skills -Proven ability to organize, prioritize and complete multiple types of administrative tasks; strong attention to detail and accuracy; persistent follow-through skills. Must show a high level of discretion with confidential and sensitive information. Ability to work in a fast-paced & startup environment. Enjoys being a key contributor to a strong team. Has an eagerness to learn, adapt, and improve processes by researching & suggesting new ideas.Strength in multi-tasking, goal-setting and problem solving, often under tight deadlines. Solid organizational, written and oral communication skills; ability to effectively communicate to all levels within an organization. Technology Competency-Knowledge and skills to support IT efforts. Strong experience working with HRIS systems, ADP WorkforceNow preferred.
