Title:  Special Projects and Programming Manager

Reports to:  Director of Programming & CEO

Location:  Charleston, South Carolina

Type:  Full-time, exempt, evening and weekend hours will be required.

Position Summary

The Special Projects and Programming Manager is a key member of the Programming Team, which includes the Director of Programming, two Artistic Advisors and the CEO/President. They will help dream up and devise great local projects, research and evaluate possible programming and projects.  They will develop and maintain excellent relationships inside the organization, with artists and partner organizations, and with colleagues at venues and presenters who could work as partners in securing great work.  They will support the Director of Programming in maintaining great relationships and internal systems to support our roster of mainstage touring work.

Responsibilities

  • Produce the Gaillard’s special festivals, working with the Programming Team to research and identify local and national performers, contracting and liaising with everyone involved and working with the Gaillard’s production and event services department to deliver complex and successful campus wide events
  • Coordinate program for the Gaillard Center’s annual Speigltent including coordinating all national and local talent, working with production team and event services team to deliver a thrilling artistic experience
  • Be responsible for maintaining and managing strong relationships with our local partners including the Spoleto Festival USA, the Charleston Symphony Orchestra and the Low Country Jazz Festival
  • Be responsible for coordinating with local partner organizations wanting to present in the venues, from scheduling to settlement
  • Assist Director of Education with calendar holds for Performance Hall student matinees
  • Manage a roster of mainstage show contracts and settlements
  • Field ticketed rental inquiries via website requests and phone call inquiries
  • Maintain electronic show filing system and upload show docs to Venue Ops and Google Drive including technical riders, tax documentation, payment instructions, and certificates of insurance (COI’s).
  • Review Gaillard contracts and addendums for appropriate language, updating templates as needed with counsel from the CFO and Director of Programming.
  • Administer artist contracts and markups guaranteeing all terms contained within match confirmed offers. Review and route technical riders to the Technical Director for redline/approval.
  • Ensure all artist deposit payments and final payment terms for ticketed events are advanced with the tour/artist’s management and scheduled with Finance.
  • Collect settlement documentation from various departments and prepare pre-settlements for Gaillard presented performance engagements, co-promoter engagements, rental engagements, and Broadway engagements.
  • Serve as night-of show settlement liaison for a majority of GMC presented events approx. 20+ evenings per year).
  • For ticketed rentals request and track all artist and rental client payments, including generating invoices as applicable.
  • Maintain rental estimate templates based on house costs, in conjunction with Director of Programming.
  • As directed by Director or Programming, generate necessary performance engagement documents including offer letters and help draft show budgets
  • Assist Director of Programming in coordinating ticket on sales with Marketing and Ticketing teams to ensure all billing & ticketing setup needs are consistent with contractual needs.
  • Identify contractual obligations to Director of Programming and for fulfillment by every department (e.g. seat hold requirements, meet & greet stipulations, etc.).
  • Facilitate and route the timely communication of financial information and submission of invoices/membership dues and credit card statements to the Finance Department.
  • As necessary and directed, interface with artists, agents, management, and promoters regarding contractual details and follow through with details related to current bookings.
  • Assist CFO with running financial reports and necessary documentation on the economic performance of events.
  • Maintain professional demeanor.
  • Other duties as assigned.

Required Qualifications

  • Minimum of 3-5 years of experience working in the field of live entertainment or performing arts.
  • Understanding of contract terms and able to interpret artist provisions.
  • Ability to work with internal and external customers with diplomacy and tact.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to build and maintain collaborative relationships with not only the Programming and Finance teams but Marketing, Ticketing, Education, and Operations.
  • An established knowledge of the performing arts, including Broadway, theater, dance, classical music, concerts, and comedy.
  • Extremely proficient with Microsoft Office Suite, particularly Excel, and Google Workspace.
  • Have demonstrated organizational skills and ability to manage details and deadlines of several concurrent projects with meticulous attention to detail.
  • The ability to be a self-starter and complete tasks without supervision.
  • This position requires the ability to work a variable schedule including evenings, weekends, and holidays to meet operational needs.

Preferred Qualifications

  • Experience in arts administration working in similarly-sized and multi-purpose venues.
  • Company management and Broadway show settlement experience a plus.
  • Broad knowledge of performing arts disciplines and a desire to broaden that knowledge.

Physical Requirements

  • Activities may require sustained periods of movement, traversing, and positioning to meet facility and event demands.
  • Work may include prolonged periods of sitting, typing, or looking at a computer screen.
