Full-Time Senior Tax Preparer
Job Description
In this position you will be responsible for preparing tax returns for individuals and small businesses, ensuring accuracy and compliance with tax laws. You will also support small business clients with their other compliance requirements such as sales tax, state and local business licenses, and business entity requirements. You have the option to provide business consultation and support to clients as well. Clients span a range of changemaking industries.
We’re looking to hire someone who specializes in business taxes already and is interested to stay focused on that. We’re a small team based in Oakland, CA, but you could live anywhere.
Roles and responsibilities:
- Tax Preparation – 70%
- Client onboarding: Conduct client intake interviews via phone, video call, and email. Send client folders and questionnaires. Respond to client questions, primarily via email
- Reviewing financial documents: Reviewing previous tax returns and financial documents to identify missing or incomplete information or documentation
- Small business support: Bookkeeping clean-up projects, estimated tax projections, payroll and 1099 filing
- Preparing tax returns: Using electronic filing software or accounting systems (we use Taxact) to prepare tax returns, ensuring compliance with tax regulations
- Resolving customer complaints: Addressing customer concerns and issues related to compliance, tax preparation, and filing
- Audit prevention: Ensuring tax returns are accurate and complete to minimize the risk of audit, including documentation and due diligence
- Tax planning: Analyzing clients’ financial and tax situations to recommend appropriate tax savings strategies
- Tax resolution: Responding to IRS notices and inquiries, amending returns, completing multiple years of tax returns
- If CPA, completing audits for non-profit organizations
- Small business compliance – 20%
- Reporting and payments: Ensure timely filings of all annual reports and other entity compliance, quarterly and other taxes, sales tax filings and payments, business license filings and payments, and all other compliance requirements for clients
- Strategic consulting: Educate and advise clients on tax and financial perspectives for business entities and other strategic decisions
- General administration – 10%
- Data management for tracking compliance deadlines for business clients
- Team communications
- Business systems maintenance and improvements
Expectations
- Available 25-40 hr/week
- Available for overtime requests January through April
- Available for client and team calls during US daytime hours
- Maintain 60% or more billable hours, on a weekly basis
- Fully remote position
- No set working hours
Requirements:
- 5+ years experience in tax preparation and review (form 1040, 1065, 1120S, 1120, 990)
- CPA or EA preferred
- CTEC registered tax preparer, preferred if registered in NY and OR as well
- Proficiency in tax prep software, Quickbooks, Xero, Google Suite, Excel
- In-depth knowledge of applicable tax laws, regulations and deadlines
- Experience in tax planning
- Ability to review and analyze financial statements
- General knowledge about bookkeeping and payroll
- Familiarity with the tax return submission and confirmation process, including how to navigate the IRS and other government entity online platforms
- Strong organizational and time management skills
- Attention to detail and ability to identify and correct errors
- Ability to work accurately under deadlines and with minimal supervision
- Strong analytical and problem-solving skills
- Excellent communication skills and ability to work collaboratively

Compensation:
- $40-45/hr starting pay
- 1 hour of sick time for every 30 hours worked, up to a maximum accrual of 40 hours
- 1 hour of paid time off for every 20 hours worked, up to a maximum accrual of 80 hours
- 11 paid holidays per year plus double time pay for weekdays 12/26-12/31
- Unpaid time off requests will be considered
