Full-Time Senior Project Coordinator
Job Description
The Clinical Applications team has an immediate opening for a Senior Project Coordinator.
Here’s What you’ll Get To Do
- Assists the Clinical Applications Director and the Management Team with various aspects of the project, such as planning, tracking, monitoring, documenting, and reporting (utilizing project software and tools)
- Coordinates the work of the Clinical Application team members
- Maintains timely communications with team members, including internal SickKids staff and external vendor staff
- Communicates project status via the Project Status Report
- Conducts team meetings; prepares agendas and minutes for designated meetings, including weekly status meetings
- Assists with organizing / scheduling meetings and coordinating the schedule of project stakeholders
- Records and monitors project and operational issues from discovery through to resolution; maintains issues log
- Uses project management standards and procedures along with operational best practices to coordinate projects, operational tasks reporting and documentation
- Coordinates activities, such as Testing, Preparation for next stages of the project, User Training and Stakeholder Communication
- Coordinates and maintains logistics required for conducting workshops
- Assists with scheduling activities and management team schedules as required
- Assist with Clinical area rounding
- Works with the Leadership Team to manage the financial tracking and reporting of project budget
- Assists with preparation of stakeholder presentations, including executive stakeholders and sponsors
Here’s What you’ll Need
- Bachelor’s degree or equivalent work experience
- Min. 5 years previous experience in project or program coordination considered a key requirement/qualification. This includes:
- creating templates to consolidate financial and resource forecast data from multiple projects into one program financial and resource forecast report
- monitoring and controlling one integrated program plan (i.e., MSP schedule) & Milestones Management plan
- creating and consolidating templates for all program and project reports; weekly, monthly & quarterly status reports, financial and resource forecast reports
- developing executive ready presentations
- assist with facilitating the Clinical Applications Roadmap planning and execution
- Experience in project coordination activities with complex and large-scale projects
- Experience in IT and/or PMO considered a definite asset
- Familiarity with project management methodologies (i.e., PMBOK) a definite asset
- Well-developed skills and experience with using Microsoft Office products such as Word, Excel, Visio, Project, and PowerPoint
- Well-developed analytical, problem-solving skills; advanced organizational, administrative and multi-tasking skills
- Strong written and oral communications skills
- Attention to detail
- Ability to work independently and in a team environment
- Hospital experience is an asset
