SENIOR PROGRAM MANAGER

Summary

The Wikimedia Foundation is looking for an experienced Senior Program Manager to join the Advancement department. You will ensure strong coordination and strategic alignment across our Fundraising, Community Resources, and Partnerships teams. This collaborative role is dedicated to operational excellence—eager to develop systems and processes that increase our impact. We are looking for someone who will unpack complex challenges with active listening, and co-create motivating, evidence-informed practices. This role will support healthy team dynamics that welcome diverse perspectives while increasing our shared impact. In this role, you will  become a trusted partner and a key member of our department who is focused on commitments, dependencies, and reaching deliverables on time and on budget.

You are responsible for:

  • Facilitate a shared understanding of outcomes and expectations across diverse set of stakeholders, managing processes, identifying and clearing bottlenecks and integrating timely opportunities
  • Track and ensure delivery of multiple cross-team and cross-department projects efficiently and on-time
  • Anticipate risks, resolve conflicts, and initiate escalation paths
  • Lead facilitation and documentation of team activities and deliverables
  • Lead project planning, reviews, retrospectives, and internal team capacity-building efforts while promoting a culture of continuous improvement
  • Keep stakeholders aware of progress and facilitate strategic alignment across different levels in the department
  • Prepare briefings for Executive Director and Executive team
  • Support department onboarding and offboarding
  • Develop and deliver productive organizational systems and processes
  • Support budget planning and monitoring
  • Take on projects as new opportunities arise

Skills and Experience:

  • The ability to excel in a fast-paced, changing environment that often requires fast turn‐around
  • The ability to thrive in a distributed, international team
  • Internal motivation and high standards
  • Experience with project management tools (asana, trello, or other systems)
  • The ability to drive projects independently with limited feedback on a daily basis

  • Excellent organizational skills to manage projects, process, calendars, and planning activities
  • Strong verbal, written, and social communication skills with attention to international diversity
  • Emotionally mature and self-reliant; tolerates ambiguity and maintains positive, respectful professional relationships
  • Natural inclination for team collaboration and for helping colleagues succeed 
  • Flexible mindset and ability to let processes go to scale or change course
  • 5# years of related experience

Additionally, we’d love it if you have:

  • Non-profit experience
  • Fundraising, grantmaking, or partnerships experience
  • Fluency in multiple languages
  • Experience working in an international organization that has a distributed workforce and a very strong culture
  • PMP certification
