Full-Time Senior Budget Associate, Business Operations

About the Opportunity

Under the supervision of the Senior Director of Budgeting and Internal Reporting, the Senior Budget Associate’s primary responsibility is monitoring, supporting, and handling the overhead budget and associated processes of the organization.

 

Logistics

Due to the COVID-19 pandemic, all Internews’ headquarters offices are closed, and staff are working remotely until at least 1 July 2021. Ultimately, this position will be based either remotely, or in our Washington, D.C. or Arcata, California headquarters office.

You should apply with the understanding that work hours will need to be coordinated to align in part with those of colleagues on the East (GMT -5) and West (GMT -8) Coasts of the United States. While there is some flexibility around work time, the expected work schedule for this position is generally full-time, Monday-Friday, 8:30 AM – 5 PM. Candidates who would prefer an office-based position should feel free to express this preference.

Essential Duties and Responsibilities are listed below, other duties may be assigned:

  • Support the Annual Overhead Planning and Budgeting Process;
  • Maintain indirect budget templates, disaggregate and distribute annual budgets;
  • Support Department Heads in the development of annual and monthly budget submissions;
  • Process monthly modification overhead budget requests and approvals;
  • Process indirect budget uploads to Enterprise Resource Program (ERP);
  • Track department budgets and provide analysis to Department Heads;
  • Maintain department budget access for staff in ERP;
  • Review indirect purchase orders (POs) on a bi-annual or as needed basis;
  • Monitor indirect contracts and purchase orders for closures and accruals;
  • Produce and submit procurement documentation to Grants and Contracts Analyst (bids, PO requisition form);
  • Travel tracking as needed for Business Operations office;
  • Prepare and submit expense reports, vouchers, process payment requests as needed for the Business Operations Department;
  • Create and implement a strategy for improved communications on overhead improvements and department accomplishments;
  • Provide Human Resources with fringe budget versus actual reports;
  • Support Senior Director of Budgeting and Internal Reporting on development of annual fringe budget;
  • Carry out research as assigned and in support of ongoing projects and new initiatives;
  • Provide analytical and financial support to the Senior Director of Budgeting and Internal Reporting;
  • Update all ERP Reports related to overhead, fringe, unrestricted budgets;
  • Evaluate overhead expenditures are in compliance with CFR 200 and Internews’ policies and procedures;
  • Support implementation of policies, procedures and audit finding responses;
  • Prepare advanced financial analysis & reporting utilizing ERP system;
  • Support the development improvements and changes that occur in budgeting, forecasting and internal reporting;
  • Understanding of and demonstrated commitment to upholding Internews’ Core Values.

 

Qualifications We’re Looking for

  • Relevant university degree required
  • Proven experience working in operations and/or finance, preferably for a US NGO
  • Experience with financial analysis, accounting, bookkeeping and financial management
  • Budget development experience
  • Familiarity with Internews finance and administrative systems a significant asset
  • Demonstrated interpersonal skills including diplomacy, tact, and the ability to negotiate
  • Excellent communication skills; diplomatic in communications with high-level executives, management team, and staff at all levels
  • Proven ability to set priorities and manage time effectively
  • Proven analytical and problem-solving ability
  • Proven ability to work both independently and as an effective team member
  • Proven ability to prioritize and handle multiple on-going assignments
  • Advanced Microsoft Office Suite skills and experience with scheduling programs, email and internet, Excel.
  • Familiarity with ERP systems, Salesforce and other platforms/databases
  • Superior analytical, organizational and writing ability
  • Ability to handle sensitive and confidential information with sound judgment, tact and discretion
  • Ability to meet tight deadlines and work with minimal supervision
  • Exceptional multi-tasking and follow-through skills
  • Experience preparing expense reports and tracking budgets
