As a Scheduler, you will be expected to:

  • achieve maximum productivity of operatives by managing appointments for services on the Gas department. Updating compliance tracker systems, carrying out project works/responding to emergency jobs and all admin duties surrounding the gas process within KPI timeframes across the Gas department.
  • ensure all operatives diaries are maximised
  • ensure all jobs are closed down correctly and where appropriate secondary appointments are made and customers kept up to date.
  • monitor the dashboard throughout the day
  • schedule and respond to all emergency jobs within target times.
  • reschedule appointments where appropriate
  • report any unproductive hours to the supervisor.
  • ensure works requiring authority are identified and correctly processed through the system.
  • ensure all appointments are kept and identify any failings due to no access or operative failures.
  • ensure all operatives have started PDA’s and attended first appointment by 8.00am.
  • Book appointments for different work streams & update tracker systems.
  • pre-call all customers prior to their appointment to confirm operatives attendance utilising all systems available for contact details.
  • monitor teams diary throughout the day to ensure appointments are kept and warn tenants of any delays, re-scheduling where appropriate and to manage no-access jobs by researching alternative contact details prior to authorising carding of address.
  • order materials through different systems
  • register products and warranties through different systems
  • ensure all diaries are checked 24 hours prior for appointments requiring support for neighbourhood officers and 2 person assists. Warning markers for zero codes are to be identified and reiterated to all operatives.
  • General administration duties & holiday/absence cover
  • ensure all jobs attended and identified as requiring authority are passed to the client for authorisation.
  • sense check all failed KPI’s as identified by Performance Management on a weekly basis and contact tenant / operative to confirm failure cause and re-schedule as appropriate or feedback root cause for further investigation by supervisors.
  • input out of hours works and ensure follow up appointments are raised as appropriate.
  • liaise with sub-contractors and ensure works are scheduled appropriately and appointments are confirmed. Any admin correspondence & job costing needed is completed (see supervisor for job costing).

To be successful in a Scheduler role, the skills you will need:   

 

  • Educated to GCSE level including English and Mathematics
  • Customer Care Experience or NVQ
  • Experience of working in a similar compliance role including scheduling/administration/project works
  • Experience of diarised appointment systems with ability to work with an understanding of technical issues
  • Excellent organisation and time management skills
  • Customer Service skills
  • Hands on approach and can do attitude
  • React to changing workloads quickly and efficiently to ensure maximum productivity
  • To communicate effectively with operatives and deliver precise instructions
  • Ability to organize and work under pressure in a fast paced changing environment
  • Eye for detail and confident in delivering concise instruction
  • Ability to act on own initiative and prioritise quickly
  • Excellent communication skills, able to communicate across multiple channels including Microsoft Teams, Face to Face and Email.

Experience or Knowledge of the below would be advantageous but not essential:

  • Excellent IT skills including Word, Excel, Outlook etc.
  • Flexible with ability to take on additional tasks as required
  • Able to converse confidently with staff, operatives, tenants and sub-contractors
