We are currently hiring for a Regulatory Compliance Administrative Assistant position that would be based out of our Belleville, IL office.
Summary of the Regulatory Compliance Administrative Assistant Position:
- Position Summary: As an integral member of the Regulatory Compliance team, enhances the effectiveness of the department by providing exceptional customer service to internal and external customers. Provides clerical and operational support. Oversees the daily clerical operations of the office to improve efficiency to meet organizational objectives. This position reports to both the Regulatory Compliance Quality Manager as well as the Regulatory Compliance Education Manger.
- Full-Time Non-Exempt Position
- 40 hours weekly, Monday- Friday 8:30 A.M.- 5:00 P.M.
- Will be based out of our Belleville Patient Services Office.

Position Requirements
- Education
- High school graduate.
- Associate degree preferred.
- Experience
- Proficient in Microsoft Office products and working knowledge in general office procedures required.
- Healthcare environment experience preferred.
- Other Qualifications
- Types accurately with a speed of 60 w.p.m.

Physical Requirements: Performs repetitive tasks. Does sedentary work: prolonged periods of sitting. Manual dexterity (eye/hand coordination). Hears alarm/telephone. This position requires clarity of vision >20 inches and <20 feet. The Regulatory Compliance Administrative Assistant manages stress appropriately, makes decisions under pressure, handles multiple priorities, works alone, and manages anger, fear, hostility, violence of others appropriately.
Working Conditions: The Regulatory Compliance Administrative Assistant spends approximately 99% of his/her time in an air-conditioned environment with varying exposure to excessive humidity and noise. The remaining 1% of their time is spent in an automobile.
Essential Functions of the Regulatory Compliance Administrative Assistant Position
- Supports Regulatory Compliance Education Manager and Quality Manager as needed.
- Responds appropriately and promptly to inquiries or refers to appropriate personnel.
- Maintains strict confidentiality of patient and employee information.
- Assist with performing duties associated with HQRP in a timely manner; including, but not limited to, data submission and data retrieval.
- Assists with processing external surveys (i.e., enter EGSS into Qualtrics and maintain internal spreadsheets).
- Assists with completing audits as needed (i.e. running reports and auditing records).
- Demonstrates the ability to navigate and utilize reporting capabilities in Suncoast Solutions and proficient with Microsoft applications, including Excel, Power Point, and Word.
- Assists with managing online education system.
- Assists with clerical duties associated with education and quality programs.
- Assists with creation of education and quality materials as needed.
- Assists with preparing information for external audits.
- Attends QAPI Education and Regulatory Oversight Committee meetings and assists with minutes, agendas, and other duties related to the meeting.
- Assigns CNA yearly competency education in accordance with federal guidelines.
- Support with data collection, document maintenance, and monitors performance.
- Collaborates with Regulatory Compliance Department to identify compliance concerns and initiate corrective actions.
- Effectively presents information in a clear and concise manner.
