We are looking for a highly motivated Purchasing Assistant to join our team to support the business groups’ purchasing activities and drive for improvements over time as the company’s systems, procedures and policies evolve.  To be successful, the candidate must be service-oriented towards its internal customers, have great communication skills, and thrives in a fast-paced environment.

 

How You’ll Contribute

  • Train and educate existing and new employees on procurement processes. Ensure all purchase requisitions are approved according to the Company’s approval matrix.
  • Process company’s purchase requisitions, enter the purchase orders in accounting system, and place orders with vendors in a timely manner.
  • Confirm delivery terms, update internal systems, follow-up with suppliers, track purchase order from placement to receipt.
  • Support Purchasing and Supply Chain department on purchase order placement, expedites, and delivery confirmation.
  • Manage returns process and track inventory to and from suppliers.
  • Assist employees and accounting department with invoice reconciliations, order or billing issues such as missing or incorrect delivered items, billing errors, or incomplete credit card receipts.
  • Assist the Company’s inventory management team to track vendor’ shipments, report open orders status, and occasionally perform inventory counts.
  • Source simple products; compare & negotiate price with vendors.
  • Support office administration and logistics when needed.
  • Other ad hoc office tasks as requested.

 

Qualifications, Skills, Knowledge & Abilities

  • Associate degree or above.
  • 2+ years of relevant experience assisting in purchasing, or other accounting functions.
  • Highly organized and strong time management skills.
  • Must be able to work in a fast-paced, often high-pressure environment, with proven ability to maintain composure.
  • Be able to demonstrate good communication and interpersonal skills.
  • Be detail-oriented with focus on transactions accuracy.
  • Regular, consistent, and punctual attendance.
  • Proficient computer skills (Excel, Microsoft Word, PowerPoint, Outlook).
  • Experience in R&D or manufacturing procurement experience is preferred.
  • Experience with NetSuite is preferred.
