Pay band: 6
Salary: Starting at £25,520 plus £3,300 for those based in the London area.

Contract type: Fixed Term role until approximately August 2024. (Maternity Cover).

Location: Cardiff, London, Manchester, Edinburgh or Belfast – UK only.
Requirements: Candidates must have the pre-existing, legal right to work in the UK. (This role is not based in Venice).
Mobility / relocation / visa sponsoring support will not be provided.
Please note that this is a maternity cover role for approximately 9-10 months, therefore, the role could be shorter if the role holder returns to work sooner
The Team:
This role sits within the Cultural Engagement (CE) Strategic Business Unit (SBU). CE brings together our portfolio of work in arts, education, English, and research. Our UK arts team works with the arts and culture sector in the UK, and our global network of offices, to achieve significant impact and change by finding new ways of connecting and seeing each other through the arts.
Our work is delivered through four global programmes: Culture Connects supports artistic and cultural exchange between the UK and countries internationally; Spotlights on Culture engages and represents the UK’s cultural diversity and creativity at high-profile cultural events; Creative Economy analyses creative ecosystems and highlights emerging trends and areas of convergence and difference between creative economies; Arts Responds to Global Challenges celebrates the transformative power of arts and culture to change attitudes and the protection and promotion of cultural expression, diversity and heritage at risk.
The Role:
As Project Coordinator, for the Venice Arts team, your role is to provide efficient and reliable project assistance and financial administrative support to the team.
You will be efficient at processes and systems to ensure the smooth running and satisfactory delivery of the British Council’s work in Venice.
This role provides administrative support to both the Senior Project Manager, Venice and the Venice Fellowship Manager in relation to all areas of their work within the Arts Directorate.
Accountabilities:
Financial administration:
• Administer British Council financial processes and procedures to enable effective budget and resource management for the team, e.g. finance and business system, procurement processes including preparation and issuing contracts, and production of regular financial reports along with raising purchase orders/goods receipt.
• Actively seek to ensure value for money on behalf of the British Council for example when booking venues, travel and arranging services.
Project/administrative Support:
• Provide general administrative and logistical support to ensure the smooth and efficient delivery of all Venice related activities e.g. organising meetings, preparing itineraries, diary management for the Senior Project Manager, Venice when required.
• Set in place administrative processes to enable the capture of information and knowledge about our work in Venice to ensure efficient working best practises e.g. managing and maintaining a list of approved suppliers and key contacts in Venice.
• Develop good working relationships with appropriate colleagues throughout the British Council, in Venice and in the UK and international art, architecture and education sectors to facilitate effective development and delivery of the British Council’s work in relation to Venice, in line with the Venice Vision and the British Council’s Arts agenda.
Requirements of the role:
• Finance and resource management (level 2) Uses financial systems and processes
Uses corporate financial systems and processes appropriately as part of the job and on behalf of a team. Such as using system to process purchase orders and invoices.
• Excellent experience of office administration for example organising travel, finance, events and diary management.
• Planning and organising (level 2) Plans ahead: Organises own work over weeks and months, or plans ahead for others, taking account of priorities and the impact on other people.
