Full-Time Program Specialist 2 – Enrollment Services

Job Description

Clark College is currently accepting applications for a full-time, permanent classified Program Specialist 2 in Enrollment Services. This position will provide general information to and assist students with processes for all Student Affairs, including but not limited to, Admissions, Registration, Financial Aid, Assessment, Disability Support Services, Running Start and Advising services.

The work schedule is currently Monday – Thursday on campus from 8 am – 5 pm and Fridays remote from 8 am – 4:30 pm. The hybrid schedule and hours are subject to change based on the needs of the college.

Position Responsibilities

JOB DUTIES AND RESPONSIBILITES:

  • Process routine student enrollment procedures including Admission, Registration, Assessment and Running Start.
  • Provide professional and friendly customer service as a first point of contact.
  • Participate in resolution of procedural issues and problem solve with applicable managers, faculty and staff.
  • Help students navigate each step of the enrollment process from application, to enrollment, to completion.
  • Assist students within the policies and procedures of the Enrollment Services Office.
  • Collaborate with other Student Affairs staff to establish concurrence between departments within program parameters and policy implementation.
  • Represent all of Student Affairs as an entry point for operations, policies, office hours, events, and department information.
  • Support college retention goals by advising students of available student support resources (tutoring, counseling, childcare, health services, etc.).
  • Support students and student recruitment efforts by email, phone call, in-person and virtual assistance.
  • Responsible for communicating Enrollment Services functions, processes, policies and procedures; as well as other pertinent information.
  • Serve as a back-up in all functional areas as needed and appropriate.
  • Participate in professional development trainings, staff meetings, etc.
  • Perform related duties as required.

 

Qualifications

POSITION REQUIREMENTS AND COMPETENCIES:
Candidates will be evaluated based on application materials, including the supplemental questions and personal interview(s), and will be required to demonstrate competencies in the following areas:

  • Associate degree or equivalent related work experience.
  • Experience using Microsoft Office Suite, including MS Word, Excel, Outlook, Teams, Zoom and specialized database systems such as PeopleSoft or comparable software/systems.
  • Effectively coordinate services and referrals to ensure smooth and efficient operation of work.
  • Effectively communicate with diverse populations both internally and externally; ability to listen and process information and acknowledge differences in communication styles.
  • Interest in working with and helping people navigate enrollment processes, as well as computer applications and software.

 
JOB READINESS/WORKING CONDITIONS:

  • Ability to function in a high-volume, high-traffic environment while communicating information and procedures regarding Enrollment Services and the college as a whole, in order to determine the needs of students and how to best support them.
  • Ability to mentor staff and effectively teach skills that will increase effectiveness.
  • Ability to identify issues and offer alternative solutions; interpret law, regulations and policies; possess practical judgement in decision making.
  • Ability and willingness to work independently with minimal supervision while meeting performance goals.
  • Ability and willingness to sit and work at a computer for long periods of time.
  • Ability to adapt to and respond positively to change in a fast-paced environment; ability to multi-task, provide customer services at the front desk while completing other job responsibilities.
  • Ability and willingness to work a flexible schedule outside of a normal 8 am – 5 pm schedule, including occasional evenings.
  • Ability to make independent, data-informed decisions using complex data analysis.
  • Ability to work on-site or virtually depending on department needs.
  • Ability to work well with people of all ages from academically, culturally, and socioeconomically diverse backgrounds.
  • Knowledge of program or department operations; knowledge of and the ability to explain a variety of Enrollment Services functions.
  • The initial appointment will include a 6-month probationary period and the employee will earn permanent status after successfully completing probation.
  • This position is represented by Washington Public Employees Association.
  • Prior to a new hire, a background check including criminal record history will be conducted which includes a sexual misconduct background check as required under RCW 28B.112.080. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant’s suitability and competence to perform in the position.

SALARY/BENEFITS:  
Salary Range: $3,643 – $4,865 /month | Step A-M (commensurate with qualifications and experience) | Range: 42 | Code:  107I
Successful candidates typically start at the beginning of the salary range and receive scheduled salary increment increases.
