Position Summary:
The Program Manager, Student Services is a member of SoM Edmonton’s self directed leadership team that reports to SoM’s Creative Director. The position plays an important role in developing SoM’s relationship with our community partners to ensure that we are serving those young people who need us most. Serving as a bridge to accessing our programs, the Student Services Program Manager is also responsible for overseeing the front desk alumni team in delivering snack programs, daily transportation and enhancing the student experience in all areas outside the classroom.
We are looking for someone who loves talking to people from a wide variety of backgrounds and has a ‘no job is too big or too small’ attitude. You’re adaptable and ok with being approached at any moment to address time sensitive student issues. You are also extremely organized and comfortable processing a large number of admin type tasks in a fast paced environment. Most importantly, you are passionate about the connection between music and well-being and you are excited by what SoM is doing!
SoM is in the process of growing our programs to serve a greater number of youth in Edmonton. Position will start with 24 hours per week with the potential to grow into full time hours in the next few months. The position requires presence on site at SoM’s location in Edmonton, AB during work hours. Remote candidates will not be considered.
Job Responsibilities:
The candidate will focus on the following areas:
- Partnerships, Outreach and Recruitment:
- Forge and strengthen new and existing connections with community partners (i.e. school board, social agencies, community youth orgs, etc.) to facilitate programming access for new students (and families) to SoM; includes networking, making calls, hosting meetings, giving presentations, facilitating site tours, distributing materials
- Coordinate various student-onboarding details such as admissions, transportation requirements, orientation opportunities and other aspects of program integration
- Liaise with Program Managers to adapt scheduling and class development based on incoming students
- Develop and monitor overarching recruitment strategy with Lead Team
- Report on enrollment numbers, partnering opportunities/details, orientation possibilities
- Admissions:
- Participate in planning and strategies to define partnerships that will best support SoM’s mission in Edmonton
- Assist partners, parents and students with registration and admissions process
- Oversee populating and managing admissions process in Jackrabbit (SoM database)
- Train staff in registration and admissions process as needed
- Ensure student database is maintained, accurate and up-to-date
- Social Media / Student Accomplishments:
- Monitor social media presence (Edmonton site representation) and liaise with Social Media Director
- Work with lead team to facilitate celebrating accomplishments of SoM Edmonton students
- Student Services:
- Facilitate communication resources for all students
- Provide support and training to Alumni Interns as needed
- Facilitate snack program and transportation
- Oversee front desk needs and daily flow
- Lead a small team of alumni front desk staff responsible for day to day welcoming, student attendance, snack and transportation programs
Qualifications:
- At least 2 years experience working in a youth centered environment
- Demonstrated team – based skill set. Ability to work independently while thriving on a team
- Experience dealing with confidentiality and sensitive information
- 1-2 years’ experience in an office or educational environment, customer service, coaching, or support role
- Excellent people skills and the ability to communicate with enthusiasm and energy
- Experience using or supporting online database software (experience specifically using Jackrabbit software would be desirable)
- Empathy and strong emotional intelligence
- A genuine interest in youth with a passion to help them succeed
- Experience with a variety of tech tools – Gmail, Google Docs, Slack, Discord
- Meticulously organized with attention to detail
- Strong time management skills
- Strong ability to prioritize tasks and communicate questions around priorities
- Comfortable switching between tasks and dealing with shifting priorities
- Musical ability / experience is an asset but not required
