Full-Time Program Assistant, Social Marketing and Communications

Job Description

The Social Marketing and Communication (SMC) department within FHI 360’s U.S. Programs is a national leader in applying a science-based approach to social marketing and communication to address public health and other challenges in the U.S. SMC currently implements a diverse portfolio of social marketing, public relations, communication, and training and technical assistance projects in the U.S. that are funded by the Centers for Disease Control and Prevention, National Institutes of Health, private associations, and foundations. In the past decade, our team has worked on issues such as diabetes, emergency and pandemic preparedness, obesity prevention, sexual health, HIV, cancer, asthma, immunizations, violence prevention, access to health care, and tobacco control and cessation. Location: Remote or hybrid in the United States with Eastern time zone working hours required. Hybrid schedule options are available wherever there is an FHI 360 office (Washington, DC; New York, NY; Durham, NC).

 

Job Summary:

Provide administrative, programmatic, and logistical support. Prepare documents and reports, compile records, organize and maintain digital files, collect, and verify data, summarize and reconcile information, coordinate and maintain records management. Serve as a primary resource for assistance in the department.

 

The Program and Technical Assistant will provide support for activities within FHI 360’s Social Marketing and Communication (SMC) Department, reporting up to an Associate Director. SMC is part of FHI 360’s United States Business Unit and conducts multiple domestic communication initiatives that address a variety of public health, communication, and education-related topics. This team member will play a key role in providing support to social marketing and communication campaigns for SMC’s government clients, particularly within the HIV Communication portfolio and other projects within SMC.

 

Accountabilities:

  • Assists domestic HIV communication program staff with administrative requests and tasks.
  • Coordinates technical visits, travel authorizations, procurement, expense reports, and contract agreements to support implementation of US-based programs.
  • Maintains databases, and data integrity and security according to quality standards and company policy.
  • Performs day-to–day routines independently with own initiative.
  • Prepares documents, reports and briefing materials for consultants, staff and clients.
  • Coordinates division of workload among other administrative/support staff.
  • Assists in the orientation/training of new administrative/support staff.
  • Performs entry level technical program related tasks.
  • Ensures documentation and reports are tracked regularly and adhere to technical standards.
  • Performs other related duties as assigned.

Qualifications:

  • Associate’s degree required; bachelor’s degree preferred.
  • 0-2 years of programs and administrative support experience; prior relevant work experience in an office setting is preferred.
  • Articulate, professional and able to communicate in a clear, positive manner with clients and staff.
  • Must be able to read, write and speak fluent English
  • Prior experience in a non-governmental organization (NGO) preferred.
  • Interest and experience in health communication helpful
  • Excellent organizational skills and superior attention to small details
  • Adapts to change quickly and easily and shows willingness to learn
  • Outside-of-the-box thinker and strong problem-solving skills
  • Strong oral and written communication abilities
  • Strong interpersonal skills with the ability to work effectively with a wide range of individuals
  • Proficiency with MS Office suite
  • Experience working with online project management tools/platforms a plus

The expected hiring salary range for this role is listed below. FHI 360 pay ranges represent national averages that vary by geographic location. When determining an offer amount, FHI 360 factors in multiple considerations, including but not limited to: relevant years of experience and education possessed by the applicant, internal equity, business sector, and budget.

 

Base salary is only one component of our offer. FHI 360 contributes 12% of monthly base pay to a money purchase pension plan account. Additionally, all US based staff working full-time, which is calculated at 40 hours/week, receive 18 days of paid vacation per year, 12 sick days per year, and 11 holidays per year. Paid time off is reduced pro rata for employees working less than a full-time schedule.
