Job Description

JOB TITLE: #1638 Processing Archivist

LOCATION: History Center – 345 W Kellogg Blvd., St. Paul, MN 55102

SALARY: $3,816.00 monthly minimum 

STATUS & HOURS: Full-time, (approximately 2,088 annual hours) project position through June 30, 2024. 

BENEFITS: Eligible to participate in the State Employee Group Insurance Program and a retirement program with employer contribution. Generous vacation and sick time accruals with additional paid holidays.

DESCRIPTION: This position exists to process MNHS collection holdings, including manuscripts, government records, and sound/visual collections for discovery, access, use, and long-term preservation. Work includes assisting with backlog management, appraisal and selection, arrangement, description and finding aid creation, cataloging, digitization, and other tasks related to the intellectual and physical management of physical and digital collections for discovery, access, use, and long-term preservation. All work is carried out in alignment with MNHS and professional standards, best practices, and processes. 

SUMMARY OF WORK: 1) Carry out activities related to collection processing, including backlog management; 2) Carry out activities related to collections description, cataloging, and online access; 3) Carry out activities related to intellectual and physical collections management and preservation; and 4) Carry out activities that support evaluation, planning, and collection use. 

MINIMUM QUALIFICATIONS: 

  • Bachelor’s degree and three years experience processing and cataloging archival collections OR a Master’s degree in library science and two years experience processing and cataloging archival collections.
  • Substantial knowledge of archival processing work (e.g., appraisal, arrangement, description) informed by an understanding and commitment to sustainable archives and cataloging practices.
  • Prior processing and cataloging experience with archival collections in a variety of physical and digital formats. 
  • Experience creating finding aids using archival best practices. 
  • Attention to detail. 
  • Strong written communication skills. 
  • Strong organizational, analytical, problem solving, and time management skills.
  • Physical ability to regularly lift, maneuver, and carry storage containers weighing up to 40 pounds (or up to 20 pounds in partner-lift) as well as oversized materials. 
  • Physical tolerance to dust and inactive mold spores. 
  • Ability to stand, sit, kneel, crouch, reach, bend and climb ladders. 
  • Ability to keyboard for extended periods of time. 

DEMONSTRATED SKILLS IN: 

  • Demonstrated experience with XML data and editing software. 
  • Practical experience with encoding formats and guidelines for descriptive and authority controlled metadata, specifically MARC21 and Encoded Archival Description (EAD). 
  • Experience applying controlled vocabularies, particularly the Library of Congress Name Authority File (LCNAF) and LC Subject Headings (LCSH). 
  • Detailed working knowledge of descriptive content standards, such as Describing Archives: A Content Standard (DACS), 
  • Demonstrated ability to create and enter accurate metadata in an integrated library or collections management system. 
  • Multitasking, working effectively under pressure to meet deadlines, prioritizing and adapting to changing priorities. 
  • Working independently and taking individual initiative while also being able to collaborate effectively and contribute positively in a team environment. 
  • Computer skills, specifically with Word, Excel, and Google applications.. 

KNOWLEDGE OF: 

  • General professional archival standards and best practices. 
  • Digital formats and digitization practices and procedures. 

DESIRED QUALIFICATIONS: 

  • Experience cataloging in Ex Libris Alma system and using OCLC Connexion.
  • Experience cataloging in Axiell EMu collections management system. 
  • Experience tracking and reporting on performance metrics related to archival processing and cataloging. 
  • Getty Art & Architecture Thesaurus (AAT), or the LC Thesaurus for Graphic Materials TGM).
  • Resource Description and Access (RDA), Descriptive Cataloging of Rare Materials (Graphic) (DCRM(G)), and/or Archival Moving Image Materials: A Cataloging Manual (AMIM).
