Job Description
Summary
This role is key to the efficient operation of Mallinckrodt Canada business. The Business Operations Specialist will be accountable for the management of all HCP events where MNK is a participant. They are responsible for executing business processes that support all commercial functions of the organization, ensure client deliverables, achieve organizational standards, and help solve operational issues. This role also serves as the primary administrative support for the Canadian lead team.
The role contributes to the development and completion of projects that vary in size and complexity, contributing to the success of their respective sales region.
Essential Functions
- Manage all logistics and planning for HCP educational events and conferences through the Pathways process and ensure that MNK delivers superior customer experience for our HCPs working with MNK.
- Manage vendor processes including setting up the MSA, SOWs, and CDA as required
- Create and manage the overall team annual calendar
- Manage the logistics of internal meetings and events, including negotiating and securing proper facilities, coordinating travel for attendees, creating, and distributing appropriate materials, acquiring proper approvals as necessary and managing to the approved budget.
- Manage the monthly attendance tracker for all Mallinckrodt Canada employees
- Coordinate all Canadian site events/celebrations
- Act as a liaison to HR by building, managing, and enforcing inventory of internal company employee policies and procedures
- Assist company employees in understanding and complying with internal policies.
- Provide on-boarding of new employees including asset acquisition, policy review and on-going training
- Serve as primary administrative support to the GM and lead team
- Maintain highly sensitive confidential information, files, and correspondence
- Answer incoming calls and greet guests in a professional manner.
- Ensure adherence to safe office practice as it relates to infectious disease protocols
- Assist with special projects as needed
- Assist with transactional Customer Care and Operations functions as needed
- Assist with procuring and set-up of new vendors to support the Canadian Sales, Marketing and Operations team.
Minimum Requirements
- Business degree or diploma
- 3+ years in a similar support role
- Demonstrated ability to work with minimal supervision while achieving objectives
- Expertise working with various business software programs including MS Word, Excel, PowerPoint. MS Teams
- Strong verbal and written communication skills.
- The ability to professionally interact with customers and team members
- Strong organizational skills
- Ability to perform detail-oriented functions
- The ability to operate in a lean, dynamic, matrix environment
- Preference for experience working in highly regulated industry such as pharmaceutical or related health care
- Fluent speaking English (written & verbal) and a preference for French language ability
Organizational Relationship/Scope:
This role will report directly to the General Manager of Mallinckrodt Pharmaceuticals Canada and will liaise with stakeholders across the business both in Canada and globally to include (but not limited to): sales, marketing, HR, IT, medical, market access, Operations and finance.
Working Conditions:
Office based role currently based in Mallinckrodt office in Mississauga, ON.
