Full-Time Operations Processor III- Document Imaging (Req#1162)
Job Description
PURPOSE/OBJECTIVE:
The Operations Processor III (Ops Processor) will support the daily activities and inter-departmental coordination of document production execution and communications. These processes include but are not limited to statement print and production, work requests, and document imaging production.
The Ops Processor will be the Bank’s primary contact with Computershare, our printing solution provider. The Ops Processor will act as liaison between business lines, technology, and the vendor. The Ops Processor is responsible for understanding the various processes and methodologies used with the vendor and the business lines.
MAJOR RESPONSIBILITIES:
- Primary Computershare Owner:
- Perform and document the daily Computershare file tracking reconciliation and be able to respond to questions or concerns regarding that process.
- Coordinate communications for the monthly Global Viewpoint maintenance. Conduct and document testing using the standardized test scripts.
- Perform the monthly administrative tasks for Computershare, including but not limited to the monthly invoice reconciliation and marketing plans.
- Liaison between the business lines and vendor to track and report status of work requests.
- Provide support to business lines and vendor in terms of answering questions, clarifying requirements, and resolving issues as they arise.
- Participate in project meetings to collect document requirements and help guide teams to achieve project goals while still maintaining established standards for look and feel, procedures, and efficiencies.
- Support Document Management Activities:
- Assist with the Document Management daily activities including but not limited to scanning, uploading and/or indexing into the Bank’s image repository, Document Support mailbox sorting and processing of emails, record retention activities, and vault file room activities.
- Development of processes that reflect evolving business requirements specific to scanning, importation, indexing, and archiving of documents into the Bank’s image repository as utilized by Document Management for the purpose of providing technical support and improvements.
- Participate in inter-departmental Operations process initiatives and projects.
- Develop training and reference materials.
- Provide support and assistance for other projects the team is working on
PROBLEM SOLVING & DECISION MAKING:
The Ops Processor must be able to work directly with the business line management as well as independently, assisting with the coordination of project workflow, project documentation, and some decision-making. Must be comfortable and confident to communicate and coordinate with vendor representatives (Computershare and Deluxe).
REQUIREMENTS:
Education and Experience
- Must demonstrate successful communication skills working with various levels of management and personalities.
- Must have some technical experience with both hardware and software.
- Experience with Microsoft Office Applications.
Skills/Knowledge
- Excellent sense of quality control.
- Ability to learn and work within requirements and needs of vendors and internal business lines.
- Strong customer service skills to work effectively with various team members while ensuring adherence to procedure and standards.
- Must be technically inclined, and able to offer appropriate service and assistance in support of Computershare inquiries, scanning equipment and applications.
- Excellent verbal and written communication skills.
Working Conditions
- Ability to work in a high-energy environment often with tight deadlines.
- Occasional additional hours for time-sensitive projects (acquisitions, regulatory, etc.)
- May be required to travel to any of the Bank’s offices or other locations for business purposes.
