Full-Time Operations Manager for Emerging Grassroots Organization

Location: Chicago, IL (Currently remote but will require relocation to Chicago)

Hours and Pay: Full time (FLSA exempt), $50-55K, depending on experience.

Overview

Healing to Action’s mission is ending gender-based violence through building the leadership and collective power of the communities most impacted. We are a dynamic young non-profit that uses peer support, grassroots organizing, and capacity-building to build power in marginalized survivor communities and address the root causes of gender-based violence. We are seeking a passionate, organized and highly motivated job candidate to fill the new role of Operations Manager. 

Position Summary

This full-time position will create and administer financial, human resources and compliance systems at a critical time in the organization’s development. As a young organization with three full-time staff, HTA’s ideal operations manager will be flexible, mature, and experienced in navigating emerging systems and unique issues that accompany the early stages of organizational development. Working closely with the co-directors, they will have experience specific to non-profit administration, particularly in areas of human resources management and fiscal management. We are looking for a relentless problem solver and team player who is passionate about our mission, aligned with our values, and excited to play a vital role in our organization’s growth. 

Duties: 

Financial: Support the smooth, timely and accurate collecting and reporting of financial data in collaboration with HTA’s accountant, bookkeeper and co-directors. 

  • Research and monitor progress of the annual fiscal budget
  • Develop policies and systems to promote the organization’s financial health
  • Support accurate and prompt financial reporting through depositing checks, processing staff reimbursements and invoices, conducting bank reconciliations, and generating financial reports

Compliance & Human Resources: Maintain highest standards of legal compliance and personnel practices that attract, support and retain diverse talent

  • Create and implement policies that attract/retain talented and diverse individuals to work for HTA
  • Oversee compliance with relevant local, state and federal oversight bodies
  • Administer personnel processes (payroll, employee benefits, hiring, retention and records)

Development Administration: Ensure the timely, consistent and successful administration of HTA’s diverse base of donors.

  • Manage funder and donor records and communications
  • Update content for HTA communications channels
  • Develop and manage volunteer base
  • Manage grant budgets

General Administration: Enable HTA to achieve its highest impact through seamless administration of office functions that allow team members to do their best work

  • Manage technology systems
  • Provide logistical and technical support for HTA activities
  • Receive and maintain organizational correspondence
  • Ensure smooth office operations

Required Qualifications:

  • 3-5 years non-profit administration experience 
  • Demonstrated commitment to HTA’s mission and core values
  • Prior experience managing employees, and/or developing human resources systems
  • Comfort with non-profit budgets and financial data
  • Prior experience working for or with a grassroots or social justice organization, or on the issues of gender, racial, and/or economic justice
  • Strong communicator who is responsive to feedback, collaborative, and a team player
  • Creative, flexible and resourceful problem solver with an eye towards proactive systems-building for organizational growth
  • Ability to quickly learn and adapt to multiple information systems and technologies 
  • Fluent written and spoken English skills

Preferred Qualifications:

  • Spanish proficiency
  • Familiarity with Google Suite, Slack, Quickbooks, Adobe, Salesforce, and Microsoft Office
  • Familiarity with social media and communication tools like Mailchimp, Instagram, Hootsuite, Facebook, and Twitter
  • Prior experience in CRM management and administration
