Full-Time Operations & Grants Manager

Job Description

The Operations & Grants Manager at New York Peace Institute (NYPI) is responsible for supporting and sustaining the overall administration, efficiency, and structure of the organization, reporting to and working closely with the CEO. This position is ideal for an extremely organized and detail-oriented individual interested in helping to develop the structure of a growing nonprofit organization, and with aspirations of becoming a Chief Operations Officer or Chief Administrative Officer.

The Operations & Grants Manager is intimately involved in the day-to-day functioning of our two offices and helps to coordinate all systems for effective functioning and internal management of our operations, IT and HR work. The Operations Manager is responsible for serving as a point person for all staff members, overseeing administrative duties, coordinating relationships with partners, vendors and contractors, and working closely with the CEO and our external accounting and finance firm to provide fiscal oversight of the organization (including budget preparation and board and funder financial reporting). This individual is also responsible for assessing and reporting on risk management and working closely with the CEO and our other Managers to develop and implement New York Peace Institute’s overall mission, vision and strategic planning process.

Essential Job Functions

HR & Oversight of Operational Policies and Procedures:

  • Serve as key liaison between two NYPI offices and multiple programs, and coordinate various committees, staff meetings and events
  • Refine and oversee implementation of policies and procedures to ensure effective functioning of organization
  • Promote employee engagement and ensure proper application of NYPI policies regarding benefits, annual leave, and staff development and training opportunities
  • Oversee onboarding and offboarding of all employees and coordinate performance management processes
  • Promote a company culture that encourages self-care and morale, as well as a commitment to performance and achievement

Finance and Development:

  • Prepare grant reports and analyses, for State and City funders, and as otherwise needed
  • Work closely with Development and Outreach Officer to support submission of grant applications and corresponding budgets
  • Lead and support organizational budgeting process, in cooperation with the CEO, management team and external finance firm
  • Serve as liaison to external finance and accounting partners and oversee payroll, bill payment, invoice submission, and general financial needs of organization
  • Liaise with accounting firm for annual financial statement audit and preparation of IRS Form 990

IT, Data Management & General Office Support:

  • Ensure effective functioning of two offices; purchase all office and program supplies, take proper inventory, and supervise office staff to ensure maximum productivity; and, oversee and manage relationships with vendors, landlords, and other partners
  • Support and oversee organization’s assessment process by analyzing and interpreting data and metrics, partnering with contractors and vendors to review analytics, and working with staff to make necessary changes to meet or exceed goals
  • Oversee the safety and adequacy of facilities, website, and information and technology systems, in cooperation with staff and external vendors
  • Represent organization in the community, build and maintain connections and partnerships with new organizations, and strengthen referral relationships with existing partners
  • Promote an inclusive, equitable and welcoming work environment
  • Perform other administrative duties as may reasonably be assigned by the CEO

Qualifications

  • Bachelor’s Degree in a relevant discipline
  • Three or more years’ experience in nonprofit administration, operations and/or grant management
  • Exceptional organizational skills, including attention to detail and accuracy
    Strong interpersonal and communication skills
  • Familiarity with accounting software, Microsoft Office (Word, Excel and PowerPoint) and/or other fundraising databases
  • Commitment to the mission of New York Peace Institute
