About us
The Property Ombudsman provides a free, impartial and independent service, helping to resolve disputes between Consumers and Property Agents. We are the largest Ombudsman scheme in the sector and the only one to operate Codes of Practice to raise standards and share best practice in the industry. As a not-for-profit organisation we have been providing a free to use and impartial dispute resolution service since 1990.
About the role
Day to day you will provide operational and facilities administration support to the organisation. You will be assisting with the administration of our complaints handling database (Respond), including but not limited to, creating memorised contacts, membership updates, deleting company files and ad-hoc requests.
This is a hands-on role as the Operations team are responsible for general IT support to the whole organisation, you will be the office point of contact for any IT issues and liaise with our external IT provider as required, prepare and dispatch laptops and equipment for new staff and assist with desk moves.
You will be responsible for everyday facilities to ensure that the office is able to run efficiently, this will include ensuring the office is kept tidy, liaising with the landlord to report faults, maintaining the office maintenance log. You will organise catering and refreshments for meetings and training sessions. You will be required to regularly monitor stock usage and purchase office stationery and kitchen supplies as required.
As the first point of contact for any visitors to the office you will be responsible for ensuring that the reception diary is maintained and visitors to the office are greeted in a polite, professional, and friendly manner. You will need to monitor staff and visitor access to the premises and maintain security awareness, including issuing access control security passes and maintaining logs for all security passes and office key issued
This role is extremely varied and would suit someone who likes to complete a variety of daily tasks. You should be flexible in your approach and willing to roll your sleeves up and get stuck in. We are looking for a committed team player, who can work well under pressure, supported by a friendly team
What we are looking for
- GCSE level education including English and Maths or equivalent work experience.
- Previous experience in an administration and/or facilities role.
- Strong communication skills, both written and verbal, and the ability to provide friendly and professional service to internal customers and external contacts.
- Ability to prioritise and use own initiative.
- Ability to be flexible
- Experience of working effectively under pressure and dealing with conflicting priorities.
- Ability to work independently and autonomously, as well as closely and collaboratively with others.
- Strong attention to detail
- Highly motivated, positive attitude with the desire to make things happen on time.
- Excellent organisational and administration skills.
- Excellent level of ICT competence, particularly online databases, MS Office (including Excel).
