finEQUITY is a community-sourced financial technology organization. We are a nonprofit with a mission to build a digital road from prison to financial prosperity. In doing that work, we advance the financial futures of families impacted by mass incarceration. Our first product, not our last: an innovative way for recently released community members to establish a healthy credit score so that they can access affordable housing, phones, utilities, cars, and more. Our loan program, which was piloted in New York in 2021, is set to expand in 2022-2023 to 14 states. See our pitch on our loan program here. OVERVIEW

  • Start date: Around April 1st
  • Reports to: Executive Director
  • Collaborates with: Operations team
  • Compensation: the salary range is $46K – $50K for full-time work with growth opportunity with additional fringe benefits
  • Location: Remote, EST time zone

The Operations Associate is a key member of the operations team by providing support across finance, grantmaking, and relationship management. The position is also responsible for ensuring the smooth functioning of our virtual office needs.

 

RESPONSIBILITIES 

 

Financial Operations

  • Process invoices and ensure grant compliance
  • Support semi-monthly payroll and update employee information in payroll system as necessary
  • Assist with annual accounting and 990 compliance needs

Grants Support

  • Review and manage grant agreement letters and manage signatures
  • Update information in our grants tracker and internal management system.
  • Serve as the primary administrative point of contact for funder requests. 
  • Coordinate virtual logistics for capacity-building workshops
  • Provide administrative support team members who help out our clients.

Volunteer and Board Support

  • Coordinate and schedule virtual meetings and events related to stakeholders such as volunteers, mentors, advisors or board members. 
  • Take meeting minutes and prepare meeting materials
  • Track attendance at meetings (if notetaker absent) 
  • Provide additional administrative support related to meeting follow-up.

Office, Perks and Vendor Management

  • Order and maintain software vendors, employee perks and remote-office equipment
  • Serve as the main point of contact for volunteers and volunteer leads. 
  • Conduct monthly audit of the organization’s Google Drive. 

Other Duties

  •  Submit reports and annual requirements by stated deadlines
  •  Attend all staff meetings and required trainings and events
  •  Provide back up for other employees as needed
  •  Manage special projects and other duties as assigned

QUALIFICATIONS:

  • Experience with office and operations management
  • Experience using cloud-based systems and tools such as password managers, Slack, and Monday.com
  • Ability to both work collaboratively and independently, managing multiple projects while being a committed team player
  • Ability to problem-solve, plan, and prioritize tasks
  • Strong written and oral communication skills
  • Positivity, ability to motivate others, and a sense of camaraderie
  • A learner with a high degree of curiosity and a desire to see the big picture
  • Empathy, humility, and a respect for divergent points of view and approaches
