Full-Time Operations and Development Manager
Job Description
As the Operations and Development Manager, you will work closely with the Global Operations Director and Executive Director as an integral part of the Future of Fish team – with responsibilities that span across organizational operations (from budget reconciliation, contract management, and systems management, database management) and business development (from supporting prospecting and qualification, client engagement, and communications coordination).
The position is ideal for a highly motivated individual, who enjoys wearing multiple hats, is passionate about making an impact, and looking to increase small not-for-profit operations and development skills.
ROLE AND RESPONSIBILITIES
In addition to the above considerations, the responsibilities of the Operations and Development Manager include, but are not limited to:
Administrative
- Basic office management and administrative duties include: agenda preparation note-taking, meeting scheduling, generating reports, share drive management, and preparation for presentations, meetings, and events
- Reconcile monthly operating budgets and share updates with senior leadership
- Process weekly expense payments
- Drafting organizational processes, policies, and procedures
Finance and fiscal sponsor management
- Work closely with our fiscal sponsor Multiplier for processing of contracts, grants, and reconciling financials
- Maintain annual organizational budgets through forecasting and budget allocations.
- Support budget creation for grant proposals balancing staff resources across all organizational projects
- Support in planning and organizing annual staff retreat
- Organizing professional development opportunities
Ecosystem of tools
- Responsible for the upkeep and training on Future of Fish Ecosystem of Tools including ASANA, Bloomerang, Slack and Google Workspace
- Keep organizational dashboard up to date with policies, resources, and procedures
- Planning and organizing conferences, events, staff training, and employee engagement activities
Development
- Support prospecting for funders in partnership with the Executive Director and other Future of Fish staff conducting research to verify project-funder fit and initiating outreach, as appropriate and necessary, for engagement
- Support relationship management with prospective funders and partners under the direction of the Executive Director
- Coordinates all phases of the grant application process, from research, qualification, LOI, RFPs, application submission, pitch development, and contract finalization
- Manage the preparation of proposals to funders in partnership with Future of Fish staff to ensure applications and submissions are complete and meet funder criteria; assist in the development of budgets and evaluate resource allocation across the organization to meet the needs of the proposal
- Submit and track the status of applications
- Manage and track business development sales forecasts and actuals in Bloomerang – including deadlines, target ask amount, approved amount, likelihood to close, and anticipated funding receipt dates
- Manage and track grant reporting process, ensuring all reports are delivered on time to funders
Collaboration with teams
- Active use of organizational internal communications systems to ensure all circles are aligned and understand Business Development priorities including weekly Slack updates and monthly digests
- Work closely with the regional Business Development teams in Peru and Chile, for alignment on proposals and budgets for joint applications
- Other duties as assigned – as a small team operating multiple projects simultaneously, ad hoc projects and additional growth opportunities are available
QUALIFICATIONS
- Flexible and adaptable
- Alignment to Future of Fish’s mission and values
- 3-5 years of experience
- Expert level English, Spanish fluency is a bonus
- Excellent oral and written communication skills
- Superior organizational skills
- Must be able to maintain confidentiality
- Good interpersonal skills necessary to interact effectively with coworkers, prospects, and partners
- Adept at using various applications including databases, spreadsheets, report writing, project management, social media platforms, word processing, presentation creation/editing including office software such as Microsoft Office or G: Suite
- Proficiency at an intermediate level in the use of spreadsheets (excel or google sheets) for building budget, project management, and metrics tracking
- Ability to analyze problems and determine corrective measures
