Job Description:
The Office Specialist – Travel, Expense, & Inventory Specialist is directly accountable to the Executive Director of Finance & Accounting for the following duties and responsibilities.
The individual filling this position is expected to play a positive role in helping the College change as necessary to effectively carry out its mission.
- Review and process all College transactions related to the use of purchasing card and employee expense reimbursements in Chrome River.
- Review and process all travel documents in compliance with College Policies & Procedures in Chrome River.
- Provide training and assistance to college personnel in the use of and processing purchasing card transactions in Chrome River software.
- Maintain and update the Chrome River program to ensure all policies and procedures are followed.
- Ensure all IT Banner feeds are successfully received by Chrome River daily.
- Check for failed transactions in Chrome River and work with Bank of America and Purchasing to get cardholder data updated.
- Maintain the mosaics and tiles within Chrome River which are linked to account codes and work with the accountants to keep account codes updated.
- Update compliance and submit compliance rules as needed.
- Verify starting employees are set up correctly in Banner and Chrome River and leaving employees have all charges and reports processed.
- Work with Chrome River Representative on all issues related to Chrome River.
- Track and maintain documentation of reimbursements and student meal requests.
- Verify Inventory from inventory system matches Banner Finance, prepare journal entries as needed for correction.
- As a part of the college’s risk management tool annual mandatory compliance training is required.
- Perform other duties as assigned.

Requirements:
- High school diploma or equivalent required. Associate degree in office/Business related field preferred.
- Two to four years of experience working in a busy office environment involving spreadsheets.
- Database experience strongly preferred.
- Demonstrated computer skills, including proficiency with Excel, Outlook, PowerPoint, PC-based email, and internet navigation.
- Ability to take initiative, act independently, handle multiple tasks simultaneously and prioritize. Detail orientated.
- Demonstrated excellence in professional written and oral communications required.
- Strong interpersonal and organizational skills
