Duties and Responsibilities
The Office Specialist II – Foundation position is directly accountable to the Executive Director, Foundation for the following duties and responsibilities.
The individual filling this position is expected to play a positive role in helping the College change as necessary to effectively carryout its mission.
- Promote a friendly and cooperative office environment by displaying a professional demeanor at all times. Ensure effective communication with campus employees, faculty, administration, community members and outside vendors. Provide administrative support to include greeting visitors, answering phones, scanning, picking up and distributing mail, procurement and management of supplies, expediting routine paperwork, filing, copying, and other office duties as directed.
- Manage administrative needs to include preparation of Foundation board and committee meetings. Ensure timely public notice according to state statute, compilation of the agenda, maintain calendar invites, notification to board/committee members, meeting arrangements (catering, technology, room set-up), and write/maintain record of meeting minutes.
- Manage Foundation gift and contribution processing to include receipt generation, donor acknowledgement, and preparation of daily bank deposit.
- Manage accounts payable for the Foundation — process invoices, obtain authorized check signatures, reconcile checks to payment report, and address payment discrepancies and documentation.
- Utilize technical skills to extract constituent data from the College’s database, conduct mail merges using Microsoft Office, and maintain records within the College’s electronic image storage system.
- Maintain confidentiality with donor information.
- Complete annual mandatory compliance training.

Qualifications
- Associate’s degree required.
- Proficiency in Microsoft Suite (Word, Excel, and PowerPoint, and Outlook) required.
- Work experience in a higher education setting preferred.
- Database experience preferred.
- Ability to take initiative, act independently, handle multiple tasks simultaneously and prioritize. Detail oriented.
- Demonstrated excellence in written and oral communication.
- Ability to think critically and creatively.
- Possess a high standard of integrity.
- Strong interpersonal and organizational skills.
