The Human Resources Research Organization (HumRRO) is a nonprofit organization that has been in business for over 65 years providing professional services in solving challenging problems in the areas of human capital management, education, credentialing, policy analysis, program evaluation, and training. HumRRO is seeking an individual to join as a part-time Office Services Associate as part of our Office Services Group. The Office Services Associate will work approximately 24-30 hours/week providing general office support to local staff and all HumRRO offices. This position requires a willingness to be part of a team effort with an openness to a variety of duties that can change week to week in this busy group that services/supports the entire organization. The position is located in HumRRO’s Monterey, CA office.

About the Job

  • Communicate with and coordinate activities with property management company, security card access provider, and HumRRO management and staff
  • Point of Contact for suite alarms (communicate false alarm, as needed)
  • Identify and address office suite maintenance needs, including working with vendors for furniture installs, plumber, AV tech, as needed
  • Provide updates on the status of maintenance work and consult with staff when issues arise
  • Maintain stock of supplies and equipment for project, staff, and general office use
  • Assist in locating and purchasing furniture as needed
  • Assist to reimburse vendors for purchases and repairs in a timely manner
  • Provide internal billing information for print jobs
  • Assist with establishing and communicating emergency procedures
  • Assist with managing HumRRO space
  • Assist with office moves
  • Schedule shredding and junk removal
  • Update floorplan office assignments as changes occur
  • Support and monitor housekeeping and décor
  • Issue and monitor keys to equipment, office rooms, and storage facilities
  • Assist with sales posts on social media for older furniture and equipment and coordinating with appropriate parties to complete furniture transactions
  • Assemble, repair, and clean office furniture and equipment
  • Escort vendors and guests at HumRRO in compliance with security regulations
  • Ensure that common area HumRRO appliances and equipment are in working order and cleaned on a regular basis
  • Provide information to staff on policies and procedures when applicable
  • Monitor and respond promptly to staff inter-office communications and requests through support email
  • Track inventory and distribute office and housekeeping supplies
  • Prepare letters, packages, create shipping labels, and schedule pickups for outgoing mail; distribute incoming mail
  • Maintain printers/copiers in the office by performing minor repairs, restocking supplies, and scheduling repairs
  • Work as the liaison between the corporate IT Group and local staff by setting up new employee equipment in the office and overseeing the stock of IT equipment
  • Provide basic IT support in office with guidance from corporate IT group
  • Assist staff members with packing and preparing materials for projects to ensure delivery according to deadlines
  • Order catering, obtain supplies, and reserve conference rooms for in-house meetings and events
  • Assist with administrative support for projects, HumRRO committees, and other administrative departments

Requirements and Qualifications

  • High school diploma and 2 or more years of related experience or associate degree
  • Demonstrated knowledge of standard office practices and procedures
  • Detail-oriented and able to multitask
  • Ability to prioritize and organize
  • Written and oral communication skills
  • Open to learning and performing new tasks and responsibilities
  • Knowledge of Word, Excel, and Microsoft 365 (MS Teams, Outlook) necessary; ability to troubleshoot basic IT issues preferred
  • Excellent file-management skills
