Part-Time Office Manager

Job Description

Job Summary:

 

Pro-Choice Ohio (PCO) is looking for an Office Manager to work out of our Cleveland, OH office. This job will be a part-time, 20-25 hour per week position with hourly compensation of $23/hour and with a start date in September 2022. This position reports to the Development Director but will work across departments.

 

Organization:

 

Pro-Choice Ohio is dedicated to building and sustaining a constituency that uses the political process to guarantee access to reproductive healthcare for every Ohioan, including preventive care, family planning, sexuality education, prenatal and postnatal health care, and safe, legal abortion. Pro-Choice Ohio is grassroots 501(c)(4) advocacy organization. Two additional affiliated organizations help advance Pro-Choice Ohio’s mission. Pro-Choice Ohio Foundation, a 501(c)(3) organization, conducts public education and research to increase public awareness of relevant reproductive health care issues. Pro-Choice Ohio PAC is a state political action committee that conducts direct electoral work with and for pro-choice candidates.

Duties:

 

· Donor data entry: entering gift information and coding it meticulously

· Collaborating with Operations Manager to support the process of check processing

· Printing aesthetically pleasing letters and labels, folding thank you letters, and mailing out acknowledgements quickly after receipt of donations

· Keeping office stocked with stamps, printer ink, paper and other supplies

· Receiving mail and packages, taking items to USPS and other shipping services when needed

· Updating paperwork, maintaining documents and occasional word processing

· Taking notes during team meetings and uploading to shared file drive

· Administrative support for Patients to Advocates program

· Managing the staff calendar, assisting in appointment making for the Executive Director

· Assisting Executive Director with board meetings, donor materials, and other administrative work

· Managing our phone, internet, and security systems vendor relationships

· Managing tech support contractor/tech plan

· Managing janitorial/housekeeping relationships

· Planning and purchasing all gifts for staff, condolences, birthdays, etc.

· Assisting in planning and executing staff events and parties

· Building equipment budgets, facilitating purchases and removal of furnishings

· Keeping our paper file system and the record and supply room organized

· Directing and monitoring facilities and equipment maintenance for repair and/or updating in accordance with budget

· Deposits checks at local bank

· Occasionally runs errands/takes on our organization’s share of volunteer hours for Community Shares

· Keeping our precious office plants alive and well

 

This is not an exhaustive list of duties, though these are the general tasks that comprise this job. Occasionally there may be events that require travel.

 

Must-Have Qualifications:

 

· Must be pro-choice and feel comfortable being vocally pro-choice in the public eye

· At least two years of experience as an office assistant, clerk, experience with data entry, or in related field

· Must be available for in-office work at least three days a week and be able to work during our core office hours of 10am-4pm

· Must be able to run errands outside the office without much notice

· A valid Ohio driver’s license and insurance, vehicle or consistent, reliable transport for errand running and very occasional travel to Columbus (we have monthly mileage reimbursement for these tasks)

· Reliable Wi-Fi and cell phone service if you intend to do any remote work (we reimburse up to $60 a month for these services)

· Be comfortable with Zoom as a main means of communication

· Be very detailed with entering information in a database and checking work

· Great written communication skills

 

Preferred Skills & Assets:

 

· Basic working knowledge of a computer, Windows programming, and cloud-based file sharing. We can train you to use our donor database, but experience with donor data, and specifically, EveryAction8 and NGP/VAN is a plus.

· Ability to work well under limited supervision and produce timely work

· Ability to take thoughtful notes at meetings that capture important tasks

· Openness to new software and willingness to become familiar with new technology

· Located in a building less than one block from accessible transportation/the RTA Rapid Accessible Station with an elevator at E 116th St

· Scent-free shared space policy

· Physical requirements include: long periods of sitting or standing, working on a computer in chunks of time that can extend to 8-hour days, consistent communication via computer, driving/being transported sometimes up to three hours for travel, ability to water/tend plants, lifting up to 20lb boxes, unpacking deliveries, and breaking down boxes.
