Full-Time Office Manager

Job Description

JSI Research & Training Institute, Inc. and John Snow, Inc. (collectively JSI), are leading public health research and consulting organizations, and World Education, Inc. (WEI), leaders in training and technical assistance in education and health, throughout the US and around the globe. We are seeking a dynamic individual to join our Corporate Operations team, responsible for supporting the administration and operations of JSI/WEI’s Boston, MA corporate headquarters and several satellite offices. The successful site manager is an energetic professional who thrives wearing multiple hats, is experienced in handling a wide range of administrative duties, and able to work independently with little or no supervision.

The Boston Site Manager will report to the Chief Operating Officer and be based in the Boston Office.

RESPONSIBILITIES

  • Collaborate with management and staff to deliver administrative and operations support for the organization which maximizes staff efficiency and quality of  JSI/WEI’s work.
  • Supervise a team of 4 staff
  • Ensure compliance with applicable health, building, zoning, and safety licensing and certification requirements
  • Ensure appropriate office maintenance and security
  • Oversight of shipping, receiving and off-site storage
  • Manage relationships with vendors, service providers, and landlord, ensuring that all invoices and obligations are paid accurately and on time
  • Ensure offices are appropriately equipped and supplied
  • Manage office seating and storage space assignments
  • Onboard new JSI/WEI staff as part of the orientation process
  • Provide regular communication to JSI/WEI staff on office and administrative updates
  • Other duties as assigned

QUALIFICATIONS

  • Minimum ten years of experience in administration including five years in a supervisory capacity required.
  • Excellent verbal and written communication skills
  • Strong leadership and supervisory skills
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office, Google Desktop and other office software
  • Experience with all aspects of office and facilities management
  • Excellent adaptive leadership and skilled conflict resolution and negotiation skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality
