BACKGROUND:
Veterans and service members are at 50% higher risk of suicide than their peers who haven’t served. Since 2001, 114,000+ veterans have died by suicide. Without change, by 2030, 60,000 more lives will be lost. The problem is clear: The systems in place aren’t working; the status quo is no longer acceptable.
We’re not your typical nonprofit. We’re the only national, veteran-founded-and-led nonprofit focused solely on military suicide prevention. We use data insights, best-in-class technology, commercial marketing best practices and evidence-based services to find and serve veterans at acute risk for suicide.
What started as three veterans answering a toll-free number in 2010 has grown into an innovative, agile, and data-driven tone-setter that’s leading change, building community and, most importantly, saving lives. Our vision is a nation where veterans and service members have no greater risk for suicide than any other American; our line in the sand is to reduce the military suicide rate by 40% by 2030, saving 2,400+ lives per year. POSITION SUMMARY:
The Office Manager oversees the efficient day-to-day operations of the office, provides support to the Chief Operations Officer and Management Team as needed, and supports various administrative functions. Must have an understanding and a good sense of the importance of confidentiality.
RESPONSIBILITIES:
The Officer Manager shares our passion for saving the lives of veterans, thrives in a fast-paced environment, and will be entrusted with the following key responsibilities:
- Oversee and ensure the proper functioning of routine SSS office operations, to include oversight of contracted support from vendors providing services relating to supplies, information technology (IT), legal compliance, facilities, furniture, equipment, and insurance.
- Approve invoices (under $15,000) and corporate credit card reimbursements and manage cash and direct deposit transactions.
- Plan and implement logistics for executive level internal and external events.
- Work with the Chief Operations Officer (COO) to prioritize action items and proactively anticipate the needs and flow of the office to ensure fluid operational functionality.
- Schedule meetings, coordinate business travel arrangements, monitor travel logistics and create/compile meeting materials.
- Work with all operational areas to coordinate follow up on project assignments, process requests, contact management, and internal/external information and communication, and notify COO of high-level concerns for direction and/or response.
- Track and maintain information (data, records, software, etc.) related to department and business operations.
- Create presentations, memos, letters, manuals, agendas, and other correspondence for COO and other executive management as requested.
- Regularly monitor SSS P.O. Box, scan correspondence, and forward to applicable departments.
- Order and maintain office supplies.
- Other duties as assigned.
QUALIFICATIONS:
We’re looking for individuals who are committed to the mission, vision, and values of Stop Soldier Suicide. In addition, the Office Manager should possess the following key attributes:
- Associate degree in Business Management or related field or equivalent combination of skills and education required.
- Minimum of 3-5 years of administrative office management or similarly related experience required.
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
- Ability to show discretion and professionalism in handling confidential and sensitive information.
- Must be able to work with varying levels of staff creating positive relationships and practicing exceptional interpersonal skills.
- Strong organizational skills with the ability to set priorities, meet deadlines and manage large amounts of information.
- Proficient in MS Office suite (Word, PowerPoint, Excel) required; work experience with Slack, GoogleDocs, Salesforce, and Monday.com project management software preferred.
- Strong technical aptitude with the ability to utilize and leverage technology and systems.
- Works well in an energized team environment building strong partnerships with all.
- Attention to detail to ensure tasks are completed thoroughly and correctly.
- Excellent time management skills and ability to prioritize work.
- Highly motivated and proactive and works well within a team as well as independently.
OBJECTIVES AND KEY RESPONSIBILITIES (OKRs):
- Proper functioning of routine SSS office operations, IT, legal compliance, facility and infrastructure services, and insurance.
- Ensure monthly that all expense reports are reconciled and ready for approval by the 10th of the following month.
- Help with maintaining organizational records and files.
- Answering telephone calls and emails from individuals and directing them to relevant staff.
- Monitoring office supplies and ordering new furniture, appliances, and electronics as required.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:
The majority of the work required is performed in an office environment (a blend of virtual and office in light of COVID-19). The team member must be able to effectively maneuver within the office area and perform essential functions necessary to perform the job duties and meet the OKRs described above.
SALARY AND BENEFITS:
This is a full-time, non-exempt, hourly position. Hourly pay rate is commensurate with experience.
