About the position
Reporting to the Senior Director of Finance and Administration the Office Administrator position provides a range of comprehensive, confidential, and highly responsible administrative services in support of StriveTogether’s organization. As a key member of the StriveTogether team, the Office Administrator is a self-motivated individual with a high level of attention to detail, and an ability to prioritize, multi-task and strengthen internal and external relationships. About you
As Office Administrator, you’ll play an important role as the first face many will see at the StriveTogether corporate office. Your friends count on you to be the one to organize and plan events and you have a strong desire to help and serve others. You are highly organized and enjoy relieving others of the administrative details. Reporting to the Senior Director of Finance and Administration, you’ll provide support and coordination to many areas of the business. You understand it is important to have flexibility to the occasional change of schedule for work events. You are highly comfortable communicating with executives and management. You are a self-starter who can handle high-pressure situations with ease, tact and good judgement.

Responsibilities
Office Management
- Serve as the liaison and first point of contact for visitors, incoming calls and perform general administrative duties; respond to public questions and concerns with speed and professionalism; directing inquiries to other staff members when appropriate
- Manage daily office space logistics ensuring the safety of employees; developing procedures, policies and practices that help manage workflow and increase productivity
- Manage the relationship with building supervisors and facility vendors to maintain required maintenance and control access to the office space
- Manage the budget, ordering and record keeping of inventory for supplies
- Effectively on-board and train staff on office protocols including security, space, and office building policies
- Deliver incoming mail and shipment of project-based and organizational materials
- Responsible for the upkeep of cleanliness and organization of the office space, meeting space and deck
- Plan and execute celebrations such as birthdays, work anniversaries, special occasions and other meaningful moments that are recognized organization wide. This includes ordering treats, sending birthday cards and announcing occasions
- Purchase and send gifts, cards or flowers to Network members on behalf of StriveTogether at request of staff
- Control key fob access and assign staff parking spaces
Event Support
- Manage the logistics for all large meetings and events that are held in our Community space (4th floor Cincinnati offices) to include but not limited to management of space reservations, food and beverage vendors as well as ordering of and access to meeting supplies
- Support the Executive Assistant to the COO with team functions
Calendar and Expenses
- Create and maintain complex travel itineraries for staff; to include corresponding with outside partners and internal staff to confirm travel arrangements
- Prepare expense reports for senior leadership
- Effectively manage and coordinate complex scheduling arrangements for senior leadership including responding to appointment requests and scheduling meetings with internal and external participants
Qualifications
- 2-4 years of progressive office experience as a senior-level administrative professional
- Demonstrated ability to write and prepare documents/reports/correspondence/proposals in a concise, logical, grammatically appropriate format
- Strong Microsoft Office Word and PowerPoint skills
- Results-oriented; demonstrated experience in the successful execution of projects
- Demonstrated ability to handle sensitive information with discretion and tact
- Poised oral and written communicator
- Outstanding interpersonal skills; demonstrated ability to build and maintain relationships
- Possess high-level of professionalism when faced with stressful situations
- Ability to work independently with limited guidance and exercise independent judgement
- Highly flexible in job schedule to meet the demands of the office setting
- Experience with communicating and managing upward
Preferred Skills
- Familiarity with Asana, Expensify, Salesforce
- Experience Zoom hosting
- Experience managing multiple outlook calendars
- Experience with expense reporting
Physical Requirements
Moderate physical effort required to sit, stand at files, bend, stoop, lift, walk and climb stairs. Maximum unassisted lift is 35lbs. Average lift less than 10lbs. Requires ability to use a keyboard, monitor and calculator. Also requires the ability to communicate verbally, both in person and on the telephone.
Position Details
This role is based in the Cincinnati, OH office and does not have the ability to work remotely. StriveTogether offers competitive salary and benefits, commensurate with experience and skills. The salary range for this position is $20-$24 per hour.
