Under the leadership of the Senior Manager of Meetings and Events, the Meeting and Events Coordinator will assist with the planning and coordination of meetings and events, both internally and externally, for Thompson Coburn. Qualified candidates will have a minimum of two (2) years’ experience in event coordination and/or planning. To be successful in this position, you must have excellent organizational skills and a passion for the details! This position will require you to multitask and work in a fast-paced environment. This position requires travel to outside offices or other cities to support events when needed. This position is eligible for a hybrid work schedule after an initial period of in-office training.
Key Responsibilities
- Coordinates and facilitates Firm conference center meetings and events with responsibilities of planning menus, coordinating with the building office for parking, security and various other considerations for events and processing invoices relating to meetings and events.
- Coordinates and facilitates Firm offsite meetings and events with responsibilities of attending planning meetings with various practice groups, working with internal clients on planning details (invitations, lists, labels etc.), and tracking RSVP’s.
- Works overtime during coordination and during meetings and events (both on and offsite) as events can occur before or after normal business hours.
- Works closely with the Senior Manager of Meetings and Events regarding location selection, contracts and theme selection and vision of event.
- Coordinates event logistics including registration, attendee tracking, presentation and materials support, as well as pre and post event evaluations.
Experience and Education Qualifications
- A minimum of two years prior experience with event coordination and/or planning is required.
