MARKETING ASSISTANT
Writers Theatre (WT) is a nationally-recognized, award-winning theatre company located on the North Shore of Chicago with an annual operating budget of approximately $6.5 million. Known for the consistent high quality and intimacy of its productions, WT is focused on the power of the written word and dedicated to the artists who bring that word to life. In February 2016, WT opened a new, state-of-the-art facility. This established the company’s first permanent home—a new theatre center in downtown Glencoe, designed by the award-winning, internationally renowned Studio Gang Architects, led by Founder and Design Principal Jeanne Gang, FAIA. The new facility has allowed the Theatre to continue to grow to accommodate its audience, while maintaining its trademark intimacy. The new facility resonates with and complements the Theatre’s neighboring Glencoe community, adding tremendous value to Chicagoland and helping to establish the North Shore as a premier cultural destination.
The Marketing Assistant is a full-time position that reports to the Director of Marketing & Communications and plays a vital role in the day-to-day marketing activities of Writers Theatre. The Marketing Assistant, working under the supervision of the Marketing & Social Media Manager and the Design & Communications Manager, will work to expand the patron base of the Theatre, provide support to the department in design, scheduling, reporting and social media, help manage communication and engagement with current patrons and support the promotion of the WT brand.
Primary Responsibilities include:
• Planning
• Collaborate with the Director of Marketing & Communications and other Marketing staff in the formulation and execution of institutional and show-specific marketing plans to meet sales goals and promotional objectives.
• Coordinate the production process for organizational publications (show programs, news magazine, etc.) and print marketing materials (both subscription and single ticket initiatives); including planning, content collection, copy and design routing, proofreading process, compiling edits, and preparing for print production and delivery.
• Coordinate mailing lists. Submit list trade requests, approve/disapprove requests and update lists in database as necessary. Coordinate email, direct mail and stuffer trade partnerships.
• Design
• With the supervision of the Design & Communications Manager, execute a variety of design projects such as print ads, digital ads, email design, editing video projects, mailer pieces and other design tasks as assigned.
• Scheduling
• Maintain Marketing Department calendar and schedule. Coordinate, schedule and participate in department meetings.
• Schedule regular inter-departmental meetings
• Schedule photo and video recording sessions of artists by coordinating the schedules of artists, stage management, photographers, videographers, etc.
• Keep Marketing Department on calendar/timetable for advertising, print, and distribution initiatives and coordinate with Design & Communications Manager, Marketing & Social Media Manager and other Marketing staff to ensure meeting of all deadlines.
• Social Media
• With the supervision of the Marketing & Social Media Manager, support the social media profile of the Theatre and participate in brainstorming and planning of social media campaigns.
• Editing/Proofreading
• Participate in proofreading process for all advertising and publications.
• Work with the Director of Marketing & Communications, Design & Communications Manager and Marketing & Social Media Manager to maintain quality and consistency of all materials.
• Reporting/Archiving
• Monitor and circulate all press mentions, collect and archive press clippings to maintain print and digital archive.
• Categorize and maintain ongoing collection/tabulation of results from audience surveys and coordinate patron follow-up with the box office.
• Provide support in creating data reports after each production and each season.
• Work with the Audience Services and Database departments to maintain and update ticket income and subscription income reports.
• Events
• Periodically attend rehearsals, performances and other engagements with artists
• Be available to staff off-site promotional activities as necessary
Qualifications
• Strong interest in and passion for live theatre.
• Superior organizational and time-management skills, with the ability to multi-task. Comfortable with meeting deadlines and working under pressure.
• Minimum 1 year experience with InDesign, Photoshop, Illustrator, Premiere and/or other design and editing programs, and similar experience producing materials including print advertising, digital advertising, brochures, direct mail pieces, videos, posters and/or signage.
• Ability to enact design concepts quickly, and to accept and translate feedback from others in design work.
• Excellent verbal and writing skills, with previous proofreading and copyediting experience preferred.
• Familiarity with video production, editing or art direction a plus.
• Experience with customer relationship management databases such as Tessitura a plus.
• Facility with data and reporting a plus.
• Creative, energetic thinker with the initiative and ability to work from the conceptual level through implementation.

Compensation
Salary is commensurate with experience. The range of benefits includes medical, dental insurance and disability insurance, vacation and other paid leave, a 403(b) retirement plan (with employee match) and medical and dependent care cafeteria plans.
