Full-Time Marketing and Communications Project Specialist
Job Description
The Home Building Group Marketing Project Specialist will maintain and monitor project plans and project schedules specific to the Marketing team. This role covers milestones, timelines, project set ups, team composition and duties, etc. for assigned projects. The Project Specialist consistently interacts with the Project Management Team, other Corporate Marketing teams, and stakeholders. The Project Specialist will be working to meet tight deadlines and responsible for flagging next steps on projects and notifying the team via the project management system and other communication methods. This role supports the Director of Marketing & Director of Communications, and other Marketing leaders in successfully managing the project process and multiple projects in order to achieve departmental goals.
JOB FUNCTIONS
Project Process and Organization
- Handles projects of various size, scale and level of complexity as determined by the requests from businesses and/or departments; projects are assigned by the Project Manager.
- Completes higher volume of projects throughout the year as compared to the Project Specialist.
- Owns and maintains the project management system, as well as consistently learning about solutions that will improve project planning across the entire department.
- Maintains and monitors project plans, charters, and schedules.
- Documents and follows up on important actions, milestones, and decisions from meetings.
- Organizes and inputs new projects, tasks, and milestones in our project management system.
- Stays up-to-date on project process best practices.
Leading Presentations and Meetings
- Lead project kickoffs for assigned projects as well as follow up meetings as the project progresses.
- Presents at project meetings during the life of the project.
- Prepares for and leads meetings with teams across the company and with third parties.
- Provides administrative and logistical support including meeting arrangement, progress tracking, and documentation.
Team Contributions and Communication
- Provides insight and suggestions into best practices for projects based on knowledge of process alongside marketing initiatives and goals that the team is seeking to achieve.
- Maintains a working knowledge of all aspects of the Digital Marketing Department and understands the key metrics driving success including, but not limited to, setting and meeting milestones, task assignment and completion, project cost v. actual cost, quality and satisfaction.
- Provides support for projects such as note taking, communication follow-ups, and a sense of urgency.
- Communicates with stakeholders and team members within Corporate Marketing to ensure all milestones and tasks are complete on time.
Reporting and Analysis
- Analyzes and reports on project performance upon completion and on a monthly basis.
- Compiles information for reports and read outs related to milestones or missed milestones, level of effort, upcoming requirements for stakeholders, etc..
- Reviews allocation for business units and applies knowledge of effort and capacity across projects.
- Other duties as assigned
REQUIREMENTS AND QUALIFICATIONS
- Education: Bachelor’s Degree or equivalent experience required. Degree in Marketing/Business preferred.
- Years of Related Experience: Minimum of 3 years of related experience required; marketing experience preferred
- Licenses/Certifications: CAPM or PMP preferred.
- Knowledge, Skills and Abilities:
- Competency in Microsoft applications including Word, Excel, PowerPoint, and Outlook.
- Requires top notch communication, presentation, and interpersonal skills.
- Strong attention to detail and organization.
- Ability to consult and collaborate with stakeholders and teams.
- Ability to work effectively both independently and as part of a team.
- Self-starter, willing to learn, hard-working, determined and assertive.
- Requires self-direction, tact, diplomacy, and a clear, courteous, and professional manner when dealing with internal departments.
- Strong ability to multi-task and meet deadlines.
