Job Description

When We All Vote (WWAV) seeks a Managing Director of Program & Operations/Chief of Staff to facilitate the work and team collaboration of the WWAV senior leadership team and its staff. The ideal candidate is highly organized, collaborative, and possesses strong administrative, decision-making and leadership skills. The Managing Director of Program & Operations/Chief of Staff must be passionate about When We All Vote’s mission and have the ability to manage multiple competing priorities. In addition, the Chief of Staff will be able to quickly integrate themselves into the organization, assess barriers, and implement processes to maximize effectiveness.

YOUR IMPACT

Executive Leadership 

  • Serve as a strategic advisor to the Executive Director and Senior Team
  • Manage and run the front office team of When We All Vote, including the Executive Assistant, Special Projects Manager and Operations Manager.
  • Represent the When We All Vote Executive Director, when unavailable, for special meetings and events.
  • Support the Executive Director’s engagement with the Civic Nation Senior and Executive Leadership Teams and represent the Executive Director at critical internal and external meetings as needed.
  • Lead WWAV team in management and tracking of objectives and key results process, including ensuring deadlines are met and outcomes achieved.
  • Manage WWAV operations, hiring, and administrative processes working in collaboration with the Civic Nation People & Operations team
  • Serve as WWAV liaison to Civic Nation Finance Department by producing and managing relevant budget materials along with the Executive Director.
  • Manage all internal financial processes, including authorizing spending within the approved budget and ensuring financial resources are allocated appropriately to each team’s needs in alignment with When We All Vote’s goals.
  • Collaborate with the When We All Vote Senior Leadership team to develop and maintain systems and processes to streamline daily operations, and tracking the team’s overall programmatic priorities.
  • Monitor information flow and ensure the Executive Director’s involvement in key projects and decision-making processes.
  • Manage and direct the work of the Special Assistant, including the management of the Executive Director’s calendar and assist in prioritizing their time and schedule.
  • Act as liaison between WWAV Executive Director and Civic Nation Hub teams to ensure consistent communication, involvement, or decision-making at the proper time.
  • Serve as WWAV liaison to the Civic Nation Development team regarding fundraising proposals and grant reports. This includes ensuring staff meets development goals and deadlines for development materials as well as fundraising events and activities.
  • Engage with other Hub Department staff and leadership as needed to ensure alignment and successful coordination on programmatic priorities.

Team and Project Management 

  • Project manage the planning and execution of major WWAV events, mobilizations, or activations that require significant coordination across teams, including meetings, timelines, budgets, deliverables, metrics, and debriefs.
  • Cultivate and strengthen cross-team communications and relationships to ensure initiative success.
  • Develop and lead consistent and clear internal communications across teams including priorities and objectives across departments.
  • Develop agendas for and manage senior leadership and staff meetings.
  • Work closely with the WWAV Executive Director & Senior team to assess new opportunities for WWAV, ensuring alignment with goals and metrics.
  • Participate with the Executive Director and senior management team in strategic planning and program development
  • Other reasonable and related duties as assigned

YOUR EXPERIENCE

  • 10+ years of professional experience, preferably with a non-profit organization, government, political campaigns, or corporate entity.
  • 5+ years of direct supervisory or management experience
  • Significant experience managing projects, staff, systems, and processes for organizations.
  • Proven experience juggling multiple streams of work and providing leadership and guidance for multiple teams.

YOUR COMPETENCIES

  • Excellent writing and copy-editing skills.
  • Strong written and oral communications skills.
  • Strong organizational and time management skills, with an eye for details.
  • Proficiency in Google Suite.
  • Exceptional leadership and communication skills – a good listener who can be both empathetic and pragmatic
  • Ability to listen, comprehend, and connect with a diverse group of individuals at all levels and in all corners of the organizational structure.
  • Strong teamwork, critical thinking, multi-tasking, and problem-solving skills.
  • Comfortable with independent project work and frequent fluctuations in workload.

SALARY & BENEFITS

The Washington, DC-based salary range for this position is $138,000 – $148,000 (will be adjusted for cost of labor for the incumbent’s work location) annually, commensurate with experience.
