MANAGER OF DEVELOPMENT OPERATIONS – JOB DESCRIPTION SUMMARY

The Manager of Development Operations is a full-time, exempt position reporting to the Senior Vice President of Institutional Advancement.

 Primary Responsibilities:

The Manager of Development Operations function covers key operational areas within the Development team: The tracking of all financial transactions, overseeing the development database, coordination of donor areas at the Mann venue on concert nights, managing corporate seating, and assisting with special projects that relate to the Development team.

Database management:

  • Inputs and processes all contributed revenue in the Archtics database.
  • Regularly provides the Development team and CEO with donation reports from Archtics.
  • Streamline reporting and database processes in collaboration with the Archtics team.
  • Manages back-end editing of online donation forms, streamlining donation process wherever possible.
  • Serves as the Development team point of contact for prospect research tools including WealthEngine and iWave.

Liaise with Finance Department:

  • Tracks all campaign revenue, including the Mann’s Resiliency Fund, bridge funding, endowment funds, and income from all other campaign solicitations.
  • Tracks all annual fund revenue for each fiscal year, measuring against annual goals and communicating progress regularly to the head of the Development department and the Finance team.
  • Coordinates the budget creation process for the Development team on an annual basis in collaboration with the Sr. Vice President of Advancement and the Finance team.

Prepare Invoices:

  • Coordinates invoicing and follow-up for Board & Council annual commitments and pledge payments.
  • Fulfill invoices from Development consultants and other Development vendors in collaboration with the Finance team.
  • Manages the credit card reconciliation process monthly for the Senior Vice President for Institutional Advancement.

Events:

  • Coordinates with Sr. Manager of Special Events to communicate Donor Terrace & Garden needs to food and beverage partner prior to each event.
  • Manages staff and intern scheduling for all summer performances.
  • Relays donor/department feedback following events to food and beverage partners and/or the appropriate staff member(s).

Ticketing:

  • Coordinates and tracks distribution of Box tickets to sponsors.
  • Assists the Senior Director of Corporate and Business Development with mailing season tickets, benefits packages.
  • Serves as corporate concierge ticketing contact during the summer season.
  • Coordinates staff box ticketing.
  • Manages ticket donations and auction solicitations as requested.

Volunteer and Intern Coordination:

  • Manages Ambassador program, scheduling volunteers for each concert and off-season administrative support.
  • Manages Development internship program.

 Coordinates external meeting scheduling for the Senior Vice President for Institutional Advancement while in interim until administrative assistant is hired.

 Knowledge, Skills & Abilities:

  •  A College degree is required.
  • Three to five years of experience in a development-related role, with a proven track record of successful coordination and execution in project management.
  • Communicates well (written and verbal), delivers presentations, has good listening skills.
  • Works well with customers/donors, promotes a positive image of the Mann, strives to solve issues. Honest, accountable, maintain confidentiality.
  • Seeks new opportunities and strives to see projects to completion.
  • Meets deadlines, establishes appropriate priority, gets the job done in a timely manner. Works to establish and articulate vision shows creativity when defining solutions.
  • Shows creativity and has strong follow-through. Individuals must be able to handle multiple tasks in a fast-paced environment.
  • Working knowledge of box office and ticketing is extremely helpful.
  • A valid driver’s license is necessary.
