We are currently hiring for the position of:
MANAGER, EVENT PRODUCTION
Reporting to the Senior Manager, Event Production, the Manager, Event Production is responsible for leading and managing the production, execution and event experience of TIFF internal, Festival and third party programming and events.
Accountable for:
- Successful development and implementation of new initiatives that elevate TIFF’s events experiences
- Successful management of the Event Production full time and seasonal team
- Successful production of TIFF internal, Festival and third party programming, events, and activities (physical and digital)
- Ongoing improvement of departmental structure, workflows and processes
- Manage year round TBLB programming production details and calendar management
- Manage the creation and monitoring of critical paths and key dates for relevant projects and TBLB year-round operations
- Support with Event Production related budgets and interdepartmental project budgets for year round and Festival as required
- Ensuring exceptional service and support for events and internal/external stakeholders
RESPONSIBILITIES:
Shall include but not be limited to:
- Hire, onboard, train, manage, and coach year-round and seasonal staff including: recruitment, assignments, mentoring, goal setting, ongoing check ins, performance management and performance reviews
- Oversee the team in the production and execution of TIFF internal, Festival and third party programming and events (physical and digital)
- Oversee, produce and execute high profile events
- Support with the project management of year round TBLB programming production
- Act as Event Production liaison to Event Sales bookings team to confirm new and repeat 3rd party client and partner events
- Assist with the management of Event Production related budgets and interdepartmental project budgets for year round and Festival as required
- Support the production of TIFF’s new initiatives
- Support with the implementation of processes or departmental workflows
- Manage operational relationships with internal and external stakeholders including TIFF departments, external venue partners, vendors.
- Oversee the creation, production, and monitoring of critical paths and key dates for relevant projects and TBLB year-round operations
- Chair production meetings and assist to keep departments accountable/on track
- Facilitate and lead communication and workflows as related to assigned projects
- Ensure team is coordinating all aspects of support required for events as per TIFF standard service principles (i.e. tech, front of house, concessions, ticketing, security, event flow)
- Oversee preparation of materials and inventory required for events team to efficiently execute events
- Provide consultation and approval on operational plans for partner activations and initiatives
- Execute the highest services standards, policies and procedures for Event Production as they relate to the TIFF Visitor Experience Strategy
- Support Management and Senior Management as required
- Other related duties as required and assigned
JOB GRADE & SALARY:
- Job Grade 2
- $60,000-$75,000/Annually
TARGETED CONTRACT DATES:
- November 21, 2022 to November 17, 2023
MINIMUM REQUIREMENTS:
- Experience managing a team and full time, part time or contract staff
- Minimum 4 years experience in the area of event planning and production
- University degree, college diploma or equivalent work experience
- Experience with working on large, long-lead, multi-day events an asset
- Familiarity with front-of-house, technical, box office, sponsorship, marketing, security and communications requirements of large scale events.
- Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
- Excellent computer skills, familiarity with databases, CRMs, project tools
- Excellent organizational skills, attention to detail, budgets, timelines, and goals
- Excellent written and verbal communication skills
- Professional manner and “can-do” attitude, with the ability to think on your feet and adapt quickly to change
- Strong project management skills; well developed administrative and organizational skills, with the ability to prioritize.
- Ability to both work independently and in a team environment as well as the ability to both take direction and show initiative
- Creativity to develop innovative solutions
- Understanding and commitment to superior client servicing
- Ability to work fulltime, maintaining flexible working hours, including some evenings and weekends
