Department Summary
The Lifelong Learning and Community Engagement Department at the University of North Texas houses two programs: the Osher Lifelong Learning Institute (OLLI) and the UNT Retiree Association. OLLI at UNT is a lifelong learning program with courses, events and trips designed by and for adults 50 and better. The UNT Retiree Association (UNTRA) acts as a link between retirees and the continued growth of UNT.
Position Overview
The Lifelong Learning & Community Engagement Department at the University of North Texas is seeking to hire an Administrative Specialist to join our team. The Administrative Specialist will provide customer service requiring in depth knowledge and understanding of programs, processes, and services provided by the department. The Administrative Specialist will perform a wide variety of services and may process and maintain records, support department programs, process membership and enrollment, and provide support services for programs and events while also providing administrative support services to the department as a whole.
Minimum Qualifications
Associate’s degree and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
• Exceptional customer service skills.
• Intermediate Microsoft Office skills.
• Knowledge of accounting/budgeting procedures.
• Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Ability to conceptualize, plan and organize multiple assignments effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• Skill in developing and maintaining good working relationships.
• Knowledge of policies, practices, procedures and terminology of assigned function.
Job Duties
Screening and routing incoming calls and correspondence, responding independently and routing mail within the office.

Greeting visitors and serving as an initial point of contact for a variety of administrative tasks.

Providing a variety of routine confidential administrative tasks such as:
|
Providing support to the office/area and being a resource to assist in the resolution of various administrative matters.
|
Participating in identifying and recommending improvements for administrative procedures, as necessary.
|
May assist with collection of data and the preparation of materials for meetings and conferences and aid the completion of reports. materials for meetings and conferences and aid the completion of reports.

Performing regular data entry
|
Hosting and Managing OLLI at UNT Denton Classes
|
Scheduling classes in Campus CE
|
Preparing evaluation reports, thank you letters and course reminders
|
Maintaining Member lounge and classroom
|
Serving as registrar for OLLI at UNT and UNTRA
|
