Description
Under direction, performs specialized technical library duties by assisting employees with the acquisition, maintenance, arrangement, cataloging, and inventory of library resources, materials, and equipment; understands, explains, and interprets library policies, procedures, and requirements; participates in the planning and development of new policies and procedures; catalogs new materials; tracks the budget for procurement of books and e-books; and performs other related duties as assigned.
Supervision
Works under the direct supervision of the department manager.
Does not directly or indirectly supervise other employees but may provide work direction to lower-level employees, temporary employees, and/or student workers.
Work Schedule
This is a temporary substitute position on an as needed basis. Schedule will vary as needed for coverage.
Examples of Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The following duties and responsibilities are typical of those performed in this classification.
• Performs specialized technical library duties by assisting employees with the acquisition, maintenance, arrangement, and cataloging of library resources, materials, and equipment as well as the organization and operation of circulation and inventory activities and projects.
• Understands, explains, and interprets library policies, procedures, and requirements and participates in the planning and development of new policies and procedures.
• Assists with the acquisition of new library materials by administering procurement processes; receives purchase requests; identifies potential sources and gathers pricing information; recommends the best vendor/supplier and budget account to use; prepares purchasing documents and orders items as authorized.
• Obtains continuation orders from vendors; assigns barcodes, updates holding records, and checks materials into the collection using the library management system; works with vendors to resolve problems.
• Catalogs, processes, maintains, and repairs materials; searches and retrieves preliminary machine-readable cataloging (MARC) format records from the vendors’ software, online computer library center (OCLC), or another bibliographic source; edits library system records and assigns classification numbers and barcodes, verifying proper subject headings; prepares new materials for shelving.
• Tracks the budget for procurement of books and e-books.
• Prepares requisitions for payment of vendor invoices; maintains records of materials purchased and compiles monthly and annual reports of acquisition activities.
• Regularly updates records of library holdings, including title changes and frequencies of periodicals, journals, and monographs.
• Catalogs, processes, and maintains backfiles of library donations.
• Searches, monitors, and creates reports on all interlibrary loan (ILL) transactions and maintains records of ILL activity for the California State Library.
• Claims missing, lost, and not-received periodicals, journals, and newspapers; designs electronic reports and publications describing library collections.
• Compiles daily, monthly, and annual data of all categories of circulating items as well as in-house circulation and daily headcount.
• Maintains library instruction records, including student attendance and faculty participation; assists in preparing and maintaining the inventory of instructional materials.
• Prepares correspondence and reports to vendors, libraries, and employees regarding materials acquisitions and availability.
• May provide work direction to lower-level employees, temporary employees, and/or student workers.
• Performs other related duties as assigned.
Minimum Qualifications
MINIMUM QUALIFICATIONS:
The education, training, and experience qualifications are considered likely to provide the required knowledge and abilities to perform the above essential duties.
Education and Experience
Associate’s degree or equivalent from an accredited college or university.
Three (3) years of library experience, including circulation.
Licenses/Certifications/Other Requirements
• None.
Knowledge of:
• Library of Congress subject headings.
• Vendors and sources for procuring books and related items for a library.
• The Dewey Decimal Classification System (DDC) and Anglo-American Cataloging Rules (AACR2).
• The use of MARC fields and tags.
• Library recordkeeping and bookkeeping methods.
• General technical library practices and procedures, including library terminology, bibliographic records, and procedures for processing, shelving, and maintaining library collections.
• Computerized library management systems and online catalogs and databases.
• Maintenance of standard office equipment.
• Laws, regulations, standards, and/or requirements applicable to areas of assignment.
• Clerical methods of data research, collection, compilation, organization, and reporting.
• Methods of prioritizing, planning, and organizing work.
• Standard office practices or procedures.
• Standard office software and modern office equipment.
• Standard formats for business correspondence and other communications.
• Methods of filing information using alpha, numeric, and alphanumeric systems.
• Correct use of the English language, including spelling, punctuation, and grammar.
• Principles and practices of customer service.
• Business arithmetic
Ability to:
• Classify and catalog library materials according to standard library systems and practices.
• Use a database management system to input, retrieve, edit, and search data and to prepare a variety of reports.
• Operate and maintain a variety of office equipment including computers and printers/copiers.
• Sort library materials using alpha, numeric, and alphanumeric systems.
• Perform minor repairs on books.
• Maintain and secure equipment and materials inventories.
• Research, apply, and explain the laws, regulations, policies and/or procedures applicable to areas of assignment.
• Utilize standard office software (e.g., email, word processing, and spreadsheet software).
• Maintain confidentiality of sensitive and/or protected information.
• Prepare reports, correspondence, and other documents using standard business formats.
• Maintain hard copy and electronic files and records.
• Perform business arithmetic.
• Prioritize work and complete assignments accurately and within established deadlines.
• Provide and obtain detailed information to/from others.
• Provide customer service with a high level of sensitivity, tact and patience.
• Exercise reasonable judgment in performing job duties.

PHYSICAL AND MENTAL STANDARDS:

ENVIRONMENTAL CONDITIONS:
Work is primarily performed in a library environment.
