Full-Time Legal Administrative Assistant – Litigation

Job Description

SUMMARY: Performs a variety of legal administrative assistant duties for assigned attorneys/professional staff according to established policies and procedures with emphasis in editing court documents, court filings and general correspondence.  Maintains positive contact with attorneys and co-workers and observes confidentiality of client matters.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Solid working knowledge, and a demonstrated high acumen in the operation of computer software applications, specifically Word XP, Outlook, iManage, Excel, PowerPoint, Adobe PDF, CD Entry, and other firm software as required.
2. Prepares legal documents from written and oral drafts and dictation, including creating shell pleadings, discovery and correspondence in a properly formatted document.
3. Creates Table of Contents; Table of Authorities; and other formatting items such as, headers, footers, signature blocks, etc. for briefs.
4. Files pleadings with all courts (state and federal courts in Indiana and nationally) and is adept at learning local rules for said courts.
5. Create electronic case files and manage appropriately allowing attorneys to locate or pull items from those files efficiently.
6. Prepare binders for items such as depositions, hearings and trial.
7. Receive clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationships.
8. Establishes and maintains attorney calendar and case deadline reminder systems with properly coordinating essential tasks that go along with calendared events (i.e., reserve conference room; making deposition arrangements, etc.).
9. Scheduling meetings, conference calls and lunches based on attorney calendar availability.
10. Opening new files, requesting conflict of interest checks, and maintains all client and general files.
11. Makes appointments and travel arrangements for attorneys.
12.  Processes invoices.
13.  Processes expense reports.
14. Works closely with administrative support staff (office services, word processing, accounting, IT).
15. Ensures that attorney time is accurately input into CD Entry in a timely manner.
16. Performs legal assistant duties, as required.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Enhanced ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office pleadings and correspondence. Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.
2. At least five years on the job experience as well as an understanding of law office policies and procedures and be able to produce accurate legal documents with minimal supervision.
3. Knowledge of MS Word, Outlook, Adobe, iManage (or other document management software), and general telephone systems.
4. Ability to organize and prioritize numerous tasks and complete them under time constraints.
5. Ability to proofread typed material for grammatical, typographical or spelling errors.
6. Interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.
7. Work occasionally requires performing other essential duties using a high level of mental effort to produce a high volume of information.
8. Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position; may require irregular hours.
