Full-Time Learning Administrator

Job Description

Canadian Credit Union Association (CCUA) is the national trade association for the Canadian credit union industry. Canada’s credit unions are vital competitors in the financial services industry.

To achieve this, we hire talented and driven people interested in working in a dynamic part of the financial services industry in Canada. We are currently hiring for a Learning Administrator.

The Learning Administrator (LA) supports the day-to-day operations of a learning management system (LMS) and the execution of the department’s learning programs and associated activities in accordance with identified business needs. The LA ensures that processes associated with the LMS are tested, documented, maintained, and delivered to system-users at all levels. The LA provides ongoing internal and external training and support on these procedures and provides support for related systems, including task management software and file management software. This role is key to ensuring optimal operations for CCUA’s delivery of learning content and the LA is the internal expert on the day-to-day functions of the LMS.

KEY RESPONSIBILITIES

Deliverables and Main Supporting Activities:

1. System Maintenance
• Create and configure new learning activities.
• Test new and existing LMS configurations and settings to ensure functionality.
• Troubleshoot system issues escalated by Education and Professional Development team members and coordinate with internal teams and external consultants as needed.
• Create and update system policies and procedures and deliver relevant training to internal staff and provide ongoing staff support, process-improvement suggestions, troubleshooting tips, and reporting.

2. System Enhancements
• Collaborate with internal teams to identify opportunities for system enhancements and process improvements.
• Be aware of third-party platform enhancements and devise ways to operationalize enhancements in consultation with members of the internal team and consultants.
• Research and document business requirements for new systems or enhancements to existing systems.

3. System Support
• Provide third-level support to learners and system administrators by troubleshooting technical issues and collaborating with internal teams, partners, vendors, and contractors to resolve.
• Develop a deep understanding of partner integrations and customizations and act as first point of escalation for support.

4. Content Support
• Work with the Learning Specialist to
o review and update course content
o troubleshoot and resolve in-platform course performance issues
o support content file management
o deliver course files to members for use on external LMS

5. Learning Program Support
• Respond to procedural or logistical questions ranging from assignment submission queries and course requirements.
• Manage CUIC cohort course life cycle by ensuring all learner-facing documents are updated with each session and oversee discussion forums visibility.
• Upload course marks and validate accuracy of grading data.
• Track user enrollments and program status to ensure timely movement through programs.
• Explore and implement automated program tracking tools and processes that enhance the learner experience and reduce manual interventions.

6. Support Digital Transformation
• Innovate and leverage evolving technology to bring additional value to member credit unions and deliver an exceptional experience to credit union employees and board directors.
• Seek opportunities to enhance digital processes, programs, and experiences.
• Collaborate with Education & Professional Development team to identify new digital sales opportunities and emerging trends that support industry-leading learner experiences.
• Identify barriers to digital adoption at the learner level and collaborate with the Education & Professional Development team to remove the barriers.
• Test new digital solutions in advance of market or department release.

Communication
• Email, chat, and video calls with colleagues through the day.
• Email and video calls with members to troubleshoot issues and deliver software training.
• Oral presentations to the Education team or across CCUA on LMS-related topics.

QUALIFICATIONS

Education
• 2-year college diploma or equivalent experience
• (Preferred) University degree in business and or learning and development (preferred)

Experience
• 1 year using and/or administering an LMS
• Using Articulate Storyline
• Course content development
• Excellent communication and interpersonal skills with the ability to build relationships with colleagues, management, suppliers and clients.
• Administering an LMS (Docebo preferred)
• Delivering software training (preferred)
• Credit union, co-operative and or FI experience (preferred)
• Process improvement and documentation experience (preferred)
• Understanding SCORM standards (preferred)

Qualifications, Certifications, or Designations
• Ability to use Office technology, software, and applications.
• Knowledge of adult learning principles and practices

Other Information:

Working Conditions, Physical Requirements, or Other Special Requirements
• Majority of work is performed within a “hybrid” work environment in that the location where the work is being performed during the work week will primarily take place at a home office or remotely and occasionally in a typical office environment
• Minor physical effort requirements such as continuous keyboarding, sitting, standing, walking, etc.
• Moderate audio / visual effort requirements. Repetitive tasks, some switching of concentrated attention between tasks, and limited capability to control the pace of work.
