Full-Time Landlord Resource Network | Hybrid Executive Assistant

Company Overview

Landlord Resource Network (LRN) is a law firm for landlords located in Downtown Minneapolis, MN. They provide both ad hoc and retained services and leverage technology to transform and improve the way landlords and property managers navigate legal issues and collaborate with attorneys. The Owner of LRN, Brian Hage, is looking for a Twin Cities-based, hybrid Executive Assistant to help him focus on his highest leverage work.

EXECUTIVE ASSISTANT RESPONSIBILITIES

Email + Calendar Management

  • Monitor and manage the Owner’s inbox and information flow. Quickly assess how to escalate the situation, delegate, or answer queries/questions independently. Thoughtfully prepare first draft responses as appropriate to emails and requests, on behalf of the Owner
  • Manage the Owner’s calendar. Create detailed calendar holds, prep blocks, and incorporate travel time, when appropriate. Prepare the Owner to go into engagements with the background necessary on the meeting and who is attending. Ensure they also have ample time in their schedules to focus on project work and strategic thinking
  • Be prompt and responsive to calendar requests. When priorities change quickly, respectfully communicate to those affected and seamlessly move meetings. Quickly move on scheduling important engagements and politely decline or delegate invitations when appropriate
  • Thoughtfully consider personal matters when scheduling, including family events, school breaks, health appointments, vacations, etc. A job well done here includes thinking ahead of who the Owner may need to follow up with, making note of preferences, opportunities for rapport, and ways to surprise and delight important stakeholders

Relationship & Priority Management

  • Provide daily briefings for the Owner each morning on calendar, tasks, and priorities
  • Manage the Owner’s monthly and quarterly engagements through a deep understanding of his relationships and priorities
  • Create systems & processes to manage the reminders and outreach necessary to meet the Owner’s client relationship goals
  • Take meeting minutes and synthesize action items on behalf of LRN attorneys. Follow up with appropriate attendees to ensure action items are completed

Travel & Event Management

  • Research and coordinate the Owner’s business and personal travel, including RSVPs, flight details, accommodations, transportation, meals/reservations, itineraries, meeting rooms, childcare, etc.
  • Support flight check-in and rescheduling, in the event of cancellation or delay
  • Plan and execute LRN trainings and company events. This may include scheduling, slide deck preparation, meeting space reservations, catering, and in-person support in the Twin Cities area

Other

  • Build systems and streamline processes that don’t yet exist in a repeatable way
  • Organize and systemize physical and digital file systems
  • Prepare and review reports, correspondence, meeting minutes, and slide decks, as requested
  • Maintain and update client database
  • E-File pleadings and documents in state and federal court, as needed
  • Answer general email inquiries, and delegate effectively
  • Monitor and maintain office supply inventory
  • Other duties as assigned

WHAT YOU BRING TO THE ROLE

  • 3+ years of experience as an Executive Assistant, Operations Manager, legal assistant, project manager or similar in a fast-paced environment
  • Ability to work from Downtown Minneapolis office 2-3 days/week
  • Start-up savvy: You have a high sense of urgency, the ability to work efficiently, juggle multiple projects with appropriate prioritization, adhere to quick deadlines, and adapt to evolving circumstances through critical thinking. You’re ambitious and you bounce back quickly from setbacks
  • Resourceful: You’re a creative problem solver and you figure most things out on your own. You ask clear questions when you need more information or direction
  • Confidence: You’re not intimidated by the Owner or other team members. You know how to manage up, keep us on task, and give honest feedback
  • Self-starter: You don’t sit on your hands with a low workload. You recognize that sometimes delegating takes time and effort, so you make a conscious effort to seek out tasks and manage your own workload. You see problems, come up with solutions, and take ownership of what it takes to get there
  • Responsive & Proactive: You anticipate needs and think ahead before someone even thinks to ask. You make sure that you ask questions well ahead of time, not leaving things last minute
  • Exceptional Communicator: You’re an active listener and record everything that’s said, written, or texted and nothing slips through the cracks. You type accurately and quickly. It is rare for someone to have to ask you twice about something.  You aim to be clear and concise with every communication so that your recipients understand the purpose and what you need from them after a quick scan of your email. You enjoy synthesizing information and creating communications of varying complexity for different audiences. You communicate to others when deadlines need to change in lieu of more pressing projects
  • Team Player: You’re not above any task because we’re all in it together. You support others on the team with your organizational superpowers
  • High proficiency in Microsoft Office Suite

BONUS IF YOU ALSO BRING THIS

  • Experience with a legal office and working with attorneys
  • Familiarity with Minnesota Odyssey court filing website
  • Familiarity with trial preparation requirements such as witness and exhibit lists

Salary & Benefits

  • Salary Range: $70-75K annually
  • Unlimited PTO
