Full-Time Human Resources Coordinator

Department: Human Resources
Reporting To: Human Resources Business Partners (2)
Status: Contract (8 months)
Location: 22 Adelaide Street West, Toronto (currently working remotely but will need to commute to the office when it reopens)

Job Summary:
The HR Coordinator is responsible for coordinating administrative processes and providing administrative support to two HR Business Partners. The primary areas of responsibility include providing support for recruitment, on-boarding, data for recruitment metrics, updating tracking processes and special projects as assigned.

Duties and Responsibilities:
Recruitment (50%)
• In working with the enhanced recruitment processes and guidelines, prepare all approval documentation using DocuSign
• Finalize all job postings, using recruitment tools and processes, prior to posting opportunities internally and externally
• Participate in the in-take meetings with the Hiring manager and HR, prior to each job posting, noting key take-aways, updating job posting as needed and taking notes for the successful sourcing of candidates
• Post job opportunities using any, and all applicable job boards and posting sites, that are relevant to position level and department
• Using iCIMS applicant tracking system, screen and shortlist candidates, based on the posting requirements
• Using the appropriate phone interview templates, complete all phone interviews in a timely fashion
• Book all candidate interviews for Human Resources and hiring manager(s), alongside any follow-up meetings required

On-boarding (15%)
• Send candidate electronic offer packages and retrieve new hire information before their start date.
• Complete all new-hire processes prior to their first day (on-line forms, approvals, computer equipment, notifications, announcements, org chart updating, orientation program, adding to Reviewsnap etc.)
• Complete new hire orientation, on successful candidate’s first day

Administration (20%)
• Completes all relevant payroll documentation and provide payroll updates each pay period, works with payroll to learn the approvals needed and completes as required, for corporate changes relating to recruitment, departures, promotions etc.
• Reviews and update the organizational charts, provide notification to update on a monthly basis and ad hoc when needed

Employee Relations, Compliance & Reporting (15%)
• Conducts all exit interviews, which include sending the exit interview questionnaire, scheduling an exit interview meeting, completing the exit paperwork (including exit letter from the company and relevant DocuSign), deactivation from Reviewsnap, removal from org charts
• Manages Human Resources related compliance (e.g. Employment Standards, AODA, Privacy, H&S), Ensuring new hires complete appropriate policy review and testing, ensure the successful completion is tracked
• Assist with key areas of reporting and analysis including headcount reporting, turnover reporting, compliance reporting, D&I reporting, exit interview data and other business critical metrics

Works on special projects as assigned.

Qualifications:
• University Degree and/or post grad diploma in Human Resources Management
• 1-2 years of experience in an HR environment
• Functional/technical HR Knowledge
• Experience working with Applicant Tracking systems (iCIMS) as asset
• Experience with HR systems (DocuShare, DocuSign, Ultimate Software, Reviewsnap) an asset
