Full-Time Human Resources Assistant (Req#2080)
Job Description
The Human Resources Assistant provides a wide range of administrative support to the Business Partnership team. This role is critical in helping the team execute our onboarding, talent management, and retention strategies. We’re looking for someone passionate about enhancing the employee life cycle and comfortable working in a fast-paced, high-volume environment.
Key Responsibilities:
- Administrative Support: ordering office supplies, processing invoices, ordering compliance posters for each Bank and EIG location, managing employee discounts, sending personnel announcements, placing catering orders for meetings, and managing shared calendars. Managing incoming and outgoing mail.
- Managing Employee Files: managing electronic employee files, QC’ing new employee files. Tracking work authorizations, employee documents, and status change documents. Running new hire and employee separation reports. Scanning and indexing documents. Filing paper documents in filing cabinets. Managing the HR Coordinator email inbox.
- Supporting New Employee Onboarding: creating new hire folders, assembling gift bags, ordering and shipping new hire badges, setting up the new hire orientation room, taking attendance, collecting new hire paperwork.
- Supporting Employee Offboarding: scheduling equipment pick up, tracking separation documents, moving I9s of inactive employees.
- Under the direction of the VP Human Resources Business Partner, the Human Resources Assistant will be responsible for the management of the employee life cycle.
Requirements:
Education and Experience:
- High school diploma required; Associates degree preferred.
- 1-3 years progressive administrative experience, preferably in HR.
Skills/Knowledge
- Superior written and verbal communication skills with professional telephone manner and ability to interact with all levels of employees/management required.
- Proficiency in Microsoft Office applications, particularly Microsoft Outlook, Teams, and Excel required.
- Ability to maintain a high level of confidentiality is required.
- Strong organizational and attention to details skills.
- Excellent customer service and interpersonal skills.
- Demonstrated ability to prioritize and multi-task in a fast-paced environment
- Effective problem-solving skills.
- Follow-up, follow-through, and timely resolution skills.
- Excellent work ethic and strong sense of urgency.
The Human Resource Assistant will be working entirely in-person and onsite at our 195 Market Street, Lynn, MA location; Monday-Friday from 8:30-5:00 pm.
