Part-Time Human Resources Assistant

Job Description

Ocean Associates Inc. (OAI) is a government contracting firm which specializes in fisheries and oceanographic staff augmentation work. OAI is seeking a detail-oriented Human Resources Assistant to provide support to the Director of Human Resources. Because OAI has about 150 staff working in more than 20 different states, the primary focus of the position is to ensure OAI’s compliance with the varying and ever-changing employment regulations in these states, as well as at the Federal level.

Compliance areas include paid family and medical leave requirements for employer and employee contributions, long term care programs, disability programs, paid leave accruals, training requirements, pay transparency laws and reporting of pay data, earned income tax credit (EITC) notices, various reporting requirements of individual states, as well as specific reporting requirements at the Federal level (for example, EEOC and VETS).

Additionally, the position may include assistance and support in multiple functional areas of HR, including personnel records, benefits administration, training, and other administrative duties. The ideal candidate will have prior experience working with compliance requirements for a government contracting firm.

Key Responsibilities:

  • Research various compliance requirements for all states in which OAI has employees.
  • Verify that OAI is compliant with each state in each of the areas that has specific requirements, and if not, work with the Director of HR to set up appropriate processes and reporting.
  • Track Federal government requirements for various reports.
  • Prepare reports and file on a timely basis as required to meet compliance requirements of specific states and Federal government.
  • Track, document, and maintain records on employee compliance with various policies and training.
  • Monitor and report on any HR procedures with legal requirements.
  • Assist HR Director with updating policies for illness and injury prevention, substance-free workplace, harassment, telework, and numerous different state policies.
  • Assist HR Director with other administrative tasks as needed.

Start Date: ASAP

Work Hours: Flexible 20-40 hours/week

Location: Telecommute/Remote

Salary: Commensurate with experience, $26.00 – $36.00 per hour.

Required Skills /Education/ Certifications & Qualifications:

  • Bachelors in business, HR, social sciences or related field
  • Knowledge of Federal and state labor law (at least general concepts)
  • Ability to prepare statistical and narrative reports.
  • Organizational skills which enable tracking and meeting specific deadlines
  • Strong interpersonal and communication skills
  • Experience in diverse HR duties
  • Strong writing skills
  • Certification (e.g., PHR/SPHR) is nice-to-have

Preferred:

  • Experience maintaining compliance with state and federal employment regulations, supporting an HR division of a government contracting vendor.
