Job Description
Job Summary:
The Grants Manager is a vital member of a constituent-driven department, supporting the operations of ASC’s grant programs and services for the cultural community. The Grants Manager will handle a wide range of operational support duties related to the implementation and management of our online grants management system and facilitating accurate and timely reporting on ASC’s grantmaking for key stakeholders. This position works closely with members of the Grants & Services team as well as across ASC departments, with responsibility for coordination and management of multiple program-related projects and tasks, ensuring that deadlines are met both internally and externally. The Grant Systems & Data Manager is the lead coordinator for Artist Support Grants, including applicant support, panel selection, and grantee contracts and reporting. Applicants for this position must be proactive, detail-oriented, well organized, hard-working, and adaptable/flexible. This position requires effective and disciplined tactical execution, including adept work in database systems, spreadsheets and online environments. Applicants must demonstrate the ability to work with and in diverse communities (race, ethnicity, socio-economic, etc.). A passion for and understanding of the cultural community is essential.
Responsibilities/Duties/Functions/Tasks:
ASC Grantmaking Policy
- In collaboration with the Director of Community & Artist Support (DCAS), the Grant Manager is a key figure guiding and executing ASC grant making policy.
- Assist with the submission of accurate and timely reports and updates to the North Carolina Arts Council and other government entities and funders.
- Contribute to ASC’s philanthropic advocacy through analysis of quantitative data and storytelling through qualitative data, including the collection of ASC grantee statistics and appropriate grant-related data, on all ASC grant programs.
Process Management and Enhancement:
- Maintain grantmaking policies, processes, and tools that align with and support ASC’s strategy from initial application to the execution of the grant.
- Provide guidance to program staff on structuring grants.
- Assist grantees with application technology.
- Conceptualize, design, and conduct grantmaking training for staff.
Compliance and Data Management
- Ensure all grants follow IRS regulations and ASC policy.
- Facilitate and administer grantee reporting; provide support and training to new grantees to help them manage their awards.
- Coordinate across departments to provide relevant data on ASC’s grantmaking processes for all teams and the board.
- Design applications, reporting and data infrastructure to meet the requirements of ASC’s agreements with external funders and stakeholders.
- Facilitate reporting on ASC’s grantmaking to key stakeholders by collating data.
Grants & Services Team Support
- Maintain electronic grant files.
- Lead coordination and preparation of board meeting consent materials.
- Collaborate with Operations and Accounting to support accurate and timely financial reports, grants payments, audit, and tax filings.
- Preparation of regular requisitions for payment and expense reports for Grants & Services department, and assist with regular budget tracking (invoices, cash expenses, credit card expenses, mileage reimbursement).
Artist Support Grant Management
- Provide applicants assistance, advice and counsel in grant preparation and interpretation of grant guidelines.
- Update guidelines and application in accordance with NCAC program guidelines and recommendations.
- Work with regional arts council partners to promote applications, identify panelists and confirm awards.
- Select grant panelists, facilitate panel member orientation, and support panel members as they submit scoring and feedback.
Required qualifications:
- Bachelor’s degree or relevant industry experience, and 1-2 years of experience in practical arts administration
- The ability to interact with staff and community leaders at all levels in a manner that is flexible, proactive, resourceful and efficient, and with a high level of professionalism and confidentiality.
- Excellent database management skills and ability to work efficiently and reliably in grants management systems.
- Commitment to service excellence and added value with keen attention to detail.
- Ability to organize, prioritize and work independently.
- Excellent interpersonal written and verbal communication skills. Fluent bilingual English/Spanish (verbal and written) is preferred.
- Ability to apply overall mission of the organization to make informed decisions.
- Computer skills – must be adept in use of MS Office, particularly Excel, Word, PowerPoint, Web/Content Management, Database platforms and Email.
Environment:
- ASC’s team works in a hybrid environment, where workspace is available, or employees work from home.
- Frequently asked to attend and participate in meetings outside of the office or home office.
- Occasionally will be asked to lift, carry, set-up and clean-up materials, up to 20 lbs.
- Attendance and participation at events and activities throughout the cultural community will be expected from time-to-time outside of normal office hours and on weekends.
