Full-Time Grants Management Assistant
Job Description
GlobalGiving’s grantmaking initiatives leverage powerful donor partnerships and promote community-led approaches to implement funding objectives. We are looking for an enthusiastic administrative support professional to join our Grants Team.
You will be joining a team that provides GlobalGiving’s corporate and institutional partners with expertise on international grantmaking. You will be responsible for supporting the administration of GlobalGiving’s grant management processes and, ultimately, ensuring compliance with IRS and Donor requirements for intermediary grantmaking foundations.
The successful candidate will be service-minded and have professional experience in the philanthropy sector, knowledge of online database systems, and be motivated to explore the relationship between trust and risk in grantmaking. While we envision this role starting out with exclusively administrative tasks, we do expect a successful hire to take on more autonomy and responsibility over time.

Primary Responsibilities:
- Oversee grantee communication: Ensuring a timely and thoughtful response to all grantee inquiries via email, case systems, and any other forms of communication is a key focus for this position. You will have an opportunity to provide direct support to hundreds of community changemakers and learn about their work. You will learn best practices for grants management as you deepen an expertise in community engagement.
- Monitor and track grant status: Because many of our grant programs are funded in partnership with donors, you will need to report on the status of individual grants throughout our award process. You will rely on reports and dashboards to track grant activity and communicate delays against programmatic timelines. You will be responsible for providing insights to internal and external stakeholders on what blocks new requests from moving forward in each phase of the grant cycle.
- Navigate systems and improve data management: GlobalGiving monitors grant status with its proprietary vetting and grants management systems. You will have the opportunity to communicate opportunities for future product iteration and help the Grants Team prioritize updates based on your own experience in these systems. You will often be asked to update grant records in service of maintaining data integrity.
- Grants Administration: You will collect grant proposals and have the opportunity to review funding requests against eligibility criteria. You will coordinate grant agreements and amendments for signature. You will have an opportunity to coordinate with our Disbursement Team on payment issues, which often includes learning about local regulatory environments. You will collect grant reports and have the opportunity to review programmatic accomplishments and expenses for closeout.
- Research and improve knowledge management: GlobalGiving’s responsibility as an intermediary grantmaker is to maintain control and discretion over all funding decisions. You will have an opportunity to improve our grants management policies by conducting various desk research, including emerging donor rules and regulations. You will often be asked to organize and maintain documentation for the Grants Team, as well as take meeting notes.
Required Qualifications

- You have a minimum one year of full-time professional/office experience.
- You have experience with customer relationship management software or prior experience in a customer service role.
- You are able to communicate ideas effectively, listen to others’ ideas, and collaborate to arrive at great solutions; you demonstrate reliable judgment and set realistic expectations for yourself and your manager.
- You are able to work under deadlines in a fast-paced and collaborative environment while maintaining attention to detail; you are flexible and adaptable to changing circumstances and priorities.
- You are comfortable with some amount of repetition in your work; you are excited to contribute to GlobalGiving’s mission even if the work is indirect or not glamorous.
- A passionate belief in the mission of GlobalGiving and a commitment to our core values.
Preferred Qualifications
In addition, the ideal candidate would also have some or all of the following qualifications:
- Bachelor’s degree or comparable professional experience in a related field (e.g. international studies, sociology, business, nonprofit or NGO management, political science)
- Experience with grants management software
- Experience streamlining workflows
- Knowledge of United States IRS guidelines for public charity or private foundation charitable giving – especially international grantmaking
- Foreign language skills
Salary + Benefits
Salary range: $40k to $42k

Location
This is a full-time position reporting to the Manager of Global Grant Programs will be filled remotely for the duration of the COVID-19 pandemic. Once in-office operations can safely resume, this role can either be based in GlobalGiving’s headquarters in Washington, D.C. or continue to operate remotely.
