Full-Time Grants Compliance Coordinator

MADRE seeks a motivated and organized candidate to fill the position of Grant Compliance Coordinator. Reporting to MADRE’s Director of Grants Compliance and Regulatory Affairs, the Grants Compliance Coordinator will support the coordination of MADRE’s growing portfolio of government and large institutional grants. This dynamic role requires coordination across MADRE’s Grantmaking, Policy and Advocacy, and Finance teams, as well as MADRE’s grassroots partners, to successfully meet the grants compliance and management needs of MADRE staff and partners, as well as the external needs and requirements of MADRE’s government and large institutional funders.

Grant Proposal Development:
- Support the development and submission of proposals for large government and institutional grants including: gathering detailed information from MADRE and partners to assist with drafting narratives, budgets, monitoring and evaluation (M&E) plans and other required submission documents, securing necessary approvals, and submitting completed proposals on time
Monitoring, Evaluation, and Reporting:
- Conduct MADRE-led grant project M&E activities with partners and project stakeholders
- Coordinate the implementation of M&E plans and activities of MADRE’s partners and consultants and ensure their timely data collection and submission of narrative and financial progress reports to MADRE
- Create and maintain grant project profiles in MADRE’s M&E database, LogAlto, and regularly update profiles with grant project data collected by MADRE and partners
- Assist with drafting periodic reports of MADRE and partners’ grant-funded activities and progress to project funders and submit completed reports on time
Capacity Building and Technical Assistance:
- Coordinate and assist with technical assistance on project and financial management, M&E and reporting, and other topics to MADRE staff and partners
- Plan and coordinate logistics for grant-sponsored trainings and workshops with partners and other stakeholders
- Assist with organizational, country and partner-level risk assessment in countries where grant-sponsored activities take place
Grants Compliance and Management:
- Support the preparation, roll-out of, and adherence to grant administrative and implementation plans
- Perform research on agency rules and regulations and develop facility with funder requirements in grant-related materials (e.g. grant award notifications, federal circulars)
- Assist with procurement of grant-related goods and services in accordance with funder and MADRE procurement policies
- Assist with the maintenance and organization of comprehensive grant files
- Maintain accounts of funder proposal and reporting portals, including SAMS Domestic, System for Award Management (SAM), and grants.gov, among others
- Assist with preparation for government and large institutional donor site visits and internal control reviews of MADRE and partners
- Coordinate payments to consultants working on government and institutional grants
- Coordinate translation of financial receipts, correspondence, and other documents
- Collect and review financial documentation and correspondence to ensure spending is consistent with approved budgets and funder policies
- Represent MADRE in government funder sponsored events and training, as needed
- Assist MADRE’s Grantmaking team with the coordination of sub-grants to MADRE’s grassroots partners, including drafting partner scopes of work and subgrant budgets, and assisting with the development of funder-compliant contracts, as needed
- Coordinate the work of interns and project consultants, as needed
- Perform other relevant tasks as assigned
Qualifications:
- Demonstrated commitment to human rights and MADRE’s mission
- Bachelor’s Degree (or equivalent) in human rights or a related social science field and a minimum 3 years of relevant professional experience
- Experience working on government grants highly desired
- Experience using Excel to prepare budgets, reconciliations, and reports
- Knowledge of monitoring and evaluation and project/program management
- Comfort providing support, technical assistance, and guidance to colleagues and external partners
- Ability to handle new challenges and to work independently
- Strong organizational and time management skills. Must be very detail oriented
- Ability to multitask, work under pressure, and problem-solve
- Excellent oral and written communication, writing and editing skills
- Willingness to travel internationally
- Experience with impact evaluation software and comfort using new technology is a plus, but not required
- Fluency in Arabic is a plus, but not required
The salary for this position is $70,000.
This job may take place anywhere inside the US, but will require occasional in-person meetings at MADRE’s headquarters in New York. Applicants must be authorized to work in the US.
